About The Position

The Human Resources Associate is responsible for performing a variety of administrative tasks to support the operations of the Human Resources Department in the areas of personnel file management, employee onboarding, benefits administration, performance and learning management, and other related areas. The Human Resources Associate will also maintain departmental paper and electronic files, and provide outstanding customer service to individuals contacting the Human Resources Department. This is a hybrid position working 3 days in Fenway’s Boston office.

Nice To Haves

  • Working knowledge of Microsoft Outlook, Excel and Word
  • Proven ability to work within multiple online databases simultaneously
  • Experience working within a Human Resources department or related field, or educational background in Human Resources
  • One year of office experience strongly preferred
  • Prior experience working with a Human Resources Information System (HRIS) platform strongly preferred
  • Excellent communication skills and the ability to work independently
  • Experience working with an ethnically, culturally and racially diverse staff preferred

Responsibilities

  • Performs a variety of administrative tasks in support of the Human Resources function
  • Maintains staff electronic personnel files and documents, while preserving employee confidentiality at all times
  • Tracks completion of various forms and e-documents such as new hire paperwork, performance evaluations, background screening, and annual trainings
  • Ensures compliance with Fenway’s CORI policy by processing and tracking monthly CORI renewals
  • Produces personnel reports for other departments and outside entities
  • Coordinates incoming and outgoing departmental mail and packages, including preparing bulk mailings in support of department activities
  • Coordinates inventory and replenishment of department office supplies
  • Manages Fenway’s Applause program and distributes employee recognition certificates
  • Responds to employment verification requests in a timely manner
  • Provides exceptional customer service when responding to phone and email inquires
  • Processes all Human Resources’ purchase orders
  • Processes all department invoice purchase orders (POs) in online procurement software (Oracle)
  • Tracks and documents when employees are eligible for referral bonuses and anniversary recognition, and submits POs for payment
  • Partners with Finance Department to troubleshoot issues with payment of invoices
  • Supports new employee onboarding process
  • Initiates all reference checks prior to verbal offers
  • Initiates CORI background screening and verifies satisfactory results, and file documents securely
  • Ensures all onboarding documents are added to the HRIS and electronic personnel files
  • Inspects employment authorization documents and complete I-9 forms for new hires
  • Initiates and tracks completion of online onboarding for residents, students, interns, volunteers, and contracted staff
  • Provides backup support to recruiting team
  • Assists with benefits administration
  • Ensures all benefit enrollment documents are added to the HRIS and electronic personnel files
  • Coordinates weekly wellness drawing and distribution of rewards to employees
  • Assists in preparing for internal and external audits by reviewing files and gathering requested documents
  • Assists with annual Open Enrollment and Benefits Fair
  • Assists in maintaining both the Performance Management and Learning Management System in Paylocity
  • Uploads and maintains Leaning Management System content
  • Ensures tasks are properly assigned to employees in Performance Management and Learning Management System in HRIS
  • Tracks supervisors’ and employees’ progress in completing annual and thee-month evaluations, and provides troubleshooting and prompting to complete tasks as needed
  • Assists with creating and posting new job opportunities internally and externally
  • Assists with new employee onboarding
  • Assists with new hire orientation preparation and facilitation as needed
  • Meet agency participatory expectations
  • Adheres to all agency and departmental policies and procedures
  • Participates in quality assessment and improvement activities as requested
  • Adheres to the highest principles of patient and client confidentiality
  • Adheres to established safety policies, procedures and precautions; identifies potential or actual unsafe situations in the environment and takes measures to rectify the situation
  • Attends all required meetings, in-services and professional trainings
  • Maintains professional competence necessary to perform job responsibilities; maintains and provides agency with records of continuing education activities
  • Serves on agency committees and in professional organizations when requested
  • Perform related duties as assigned
