About The Position

The Human Resources Assistant supports day-to-day HR operations across the employee lifecycle, with primary responsibility for HR administration and employee support, and secondary support for Environmental Health & Safety (EHS) initiatives. This role contributes to a safe, compliant, and employee-focused culture within a fast-paced manufacturing environment. The position independently manages and coordinates a variety of HR activities requiring a high degree of confidentiality, sound judgment, and professionalism, and exercises discretion in applying policies within the scope of the role.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or a related field preferred, with a minimum of 3 years of experience in a similar role; or
  • Associate degree or accredited certification in Human Resources, Organizational Management, Business Administration, or a related field, with 5+ years of relevant experience.
  • Proven experience working in a manufacturing environment.
  • Fully proficient with HRIS platforms (e.g., Paylocity) and the Microsoft Office suite.
  • Demonstrated critical thinking skills with the ability to anticipate outcomes and resolve issues effectively.
  • Excellent written and verbal communication skills.
  • Strong organizational, time-management, and attention-to-detail skills, with the ability to manage multiple priorities.
  • Exercises professional judgment and discretion, with a continuous improvement mindset.
  • Basic knowledge of safety practices in a manufacturing environment.
  • Experience supporting payroll administration, timekeeping systems, and day-to-day HR operations.
  • Demonstrates a strong, people-centric approach to HR.
  • Strong interpersonal skills with the ability to engage effectively and professionally with internal and external partners at all levels.
  • Must be able to fulfil the following physical demands with or without reasonable accommodation:
  • Ability to sit and perform repetitive motions to utilize a computer and other office equipment (keyboarding) for approximately 8 hours per day
  • Ability to stand, walk, and move around an office and industrial environment for approximately 8 hours a day
  • Ability to lift 20 pounds on an infrequent basis
  • Ability to hear and speak effectively to communicate with employees, agencies, and vendors
  • Ability to perform activities related to travel (for example: driving, flying on airplanes, moving throughout airports) on an infrequent basis, both domestically and internationally (approximately 10%).

Responsibilities

  • HR Administration & Compliance
  • Maintain accurate and confidential employee records in compliance with HIPAA, EEO, OSHA, and company policy
  • Process new hires, employee changes, and terminations in HRIS and related systems
  • Conduct regular audits of employee data and personnel documentation to ensure accuracy, completeness, and compliance
  • Monitors employee timekeeping throughout the pay period, ensuring entries are complete, accurate, and compliant with company policies; proactively identifies and resolves issues prior to payroll close to support accurate attendance tracking and downstream payroll processing.
  • Prepares and processes payroll accurately and on schedule by reviewing and validating finalized timekeeping data, auditing employee status and compensation changes (including new hires, terminations, and pay rate updates), and resolving payroll discrepancies and employee inquiries.
  • Recruiting, Onboarding and Training Support
  • Provides recruiting support for assigned roles by preparing job postings, screening résumés, and coordinating interview logistics.
  • Maintains accurate and timely applicant records, including candidate status, requisitions, source, and related cost data.
  • Manages the pre-employment/post offer screening process including completing offer letters, and scheduling drug screen, physical, assessments, background screenings, and E-Verify process, etc.
  • Coordinates and ensures positive post-offer process via proactive communication, welcome letters, check-ins, etc.
  • Manages new hire orientation, including coordinating and scheduling participation from key functional areas (e.g., EHS, Quality, IT).
  • Coordinates employee training programs by scheduling sessions, managing logistics for in-person and electronic delivery, distributing materials, and tracking completion and records.
  • Employee Benefits Administration Support
  • Ensures the timely processing, coordination, and accurate recording of all employee benefits changes through the HRIS.
  • Prepares and maintains documentation related to leaves of absence, workers’ compensation, and disability claims.
  • Advises employees on benefits coverage, responds to inquiries, and assists with issue resolution.
  • Supports the open enrollment process, including meeting coordination, materials distribution, and employee education.
  • Employee Engagement and Communications Support
  • Supports the HR organization in managing employee communications and notifications, ensuring accuracy, consistency, and timely delivery across appropriate platforms.
  • Assists with compiling and curating people-related content and data for the North America region in support of the quarterly global company newsletter.
  • Supports employee engagement initiatives by scheduling and coordinating employee-related events, including team celebrations and recognition activities while partnering with external vendors, venues, and service providers to ensure efficient and cost-effective execution.
  • Maintains and manages inventory of employee recognition items and related materials to support ongoing engagement activities.
  • Environmental Health & Safety (EHS) Support:
  • Supports EHS programs through documentation management, recordkeeping, scheduling, and internal communications.
  • Participates in safety initiatives, including safety observations and hazard identification activities.
  • Promotes and models a safety-first culture and compliance with all EHS policies and procedures.
  • Assists with the development and distribution of EHS communications and training materials.
  • Serves as a contributing member of the Safety Team, as requested.
  • General Responsibilities:
  • Performs other responsibilities as assigned and/or as needed to support company objectives.
  • Meets on-site attendance requirements to effectively build positive relationships and interact with all employees.
  • Travels as needed (approximately 10%) to support HR activities within the US and Canada.
