About The Position

The Human Resource Assistant provides administrative and operational support to the Council’s Human Resources department to ensure efficient and effective HR operations. With a primary focus on recruitment, this position coordinates and supports the full-cycle hiring process, including job postings, candidate sourcing, screening, and interview scheduling. The role plays an essential part in attracting and supporting talent while maintaining accurate recruitment records and delivering a positive candidate experience.

Requirements

  • Associate or Bachelor’s degree in human resources, Business Administration, or a related field (or equivalent experience)
  • 1–2 years of experience in recruitment preferred
  • Ability to handle confidential information with discretion
  • Familiarity with applicant tracking systems and job boards
  • Strong attention to detail and ability to multitask
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Working understanding of human resource principles, practices and procedures preferred.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Proficient with Microsoft Office Suite.
  • Experience with Paylocity system preferred.
  • Ability to work evenings and weekends as needed.
  • Ability to travel through the 30 county Council footprint as needed.
  • Current driver’s license and access to reliable transportation required.
  • Ability to pass and maintain required background checks and clearances.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 20 pounds.

Nice To Haves

  • SHRM-CP and/or PHR credential(s) preferred.
  • Experience with Paylocity system preferred.

Responsibilities

  • Manage an effective recruitment program for open and new positions.
  • Screen resumes and applications to identify qualified candidates
  • Conduct initial phone or virtual screenings when required
  • Coordinate interviews between candidates and hiring managers
  • Serve as a point of contact for candidates throughout the hiring process
  • Answer frequently asked questions from applicants relating to standard policies, benefits, hiring processes, etc.; refers more complex questions to the HR Manager or Chief of Staff as appropriate.
  • Support employer branding efforts and recruitment events (career fairs, job boards, social media postings)
  • Conduct new hire background checks.
  • Conduct new hire onboarding utilizing the HRIS.
  • Conduct the new hire orientation process.
  • Maintain accurate and up-to-date human resource files, records, and documentation.
  • Oversee the career opportunities section of council website and recruiting platforms; ensure timely, accurate, professional presentation of HR information.
  • Maintain and report on recruiting and employment statistics.
  • Provide general administrative tasks and clerical support to the HR department as needed.
  • Assist the HR Manager as needed with payroll functions, HR file audits, and compiling data.
  • Oversee staff clearances and background checks to ensure that all are completed and up to date.
  • Review of GS Learn reports to track new hire training completion.
  • Ensure compliance with company policies and employment laws
  • Maintain the I-9 process (new hires, name changes, terminations).
  • Coordinate the distribution of 180-day and annual performance evaluations to managers at least 30 days prior to the evaluation date.
  • Track and follow up on the completion of all required evaluations.
  • Prepare weekly HR update.
  • Serve on the Staff Appreciation Committee.
  • Provide professional, quality customer service to all customers (i.e. donors, members, volunteers, staff and other community contacts.)
  • Demonstrate commitment to the Girl Scout mission by representing GSHPA in a positive manner.
  • Perform other duties as assigned in support of Council-wide initiatives and/or cross functional teams.
