We are currently looking to hire a Human Resources Assistant role at our Headquarters (HQ) office in downtown Chicago.

Requirements

  • High school diploma or equivalent, required.
  • Two years of office experience or HR support experience, required.
  • Advanced computer skills required.
  • Proficiency in MS Word, Outlook, Excel, required.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines. required
  • Exceptional verbal and written communication skills. required
  • Demonstrated ability to work in a fast-paced environment and meet multiple deadlines simultaneously.
  • Demonstrated experience or ability managing confidential information.
  • High sense of urgency and strong follow-through is essential.
  • Exceptional attention to detail and strong organizational skills.
  • Effective interpersonal and problem-solving skills.
  • Ability to interact appropriately and work well with diverse staff and external constituents.
  • May need to travel to other Agency sites periodically.
  • Ability to be flexible, highly collaborative, and quickly adapt to change.
  • Strong interpersonal and problem-solving skills when dealing with individuals at all levels throughout the organization and externally.
  • Ability to work effectively with diverse individuals and groups.
  • Reliable transportation needed.
  • Satisfactorily pass all relevant screenings and criminal background checks.

Responsibilities

  • Assist Chief People & Culture Officer with scheduling appointments, arranging meetings (including all aspects of meeting preparation), preparing correspondence, drafting reports, and managing calendars.
  • Maintain confidential employee files (digital and physical) and ensure documentation is complete, accurate, and compliant with agency policies and legal requirements.
  • Help prepare and distribute HR communications, memos, and agencywide notices.
  • May serve as a point of contact for routine HR inquiries, directing employees to appropriate resources and escalating issues when necessary.
  • Help coordinate employee recognition activities, wellness initiatives, and HR-sponsored events.
  • Assist in ensuring compliance with federal, state, and local employment laws, and with agency polices, and procedures.
  • Handle and maintain highly confidential information and uses a high degree of sound judgement.
  • Performs other duties as assigned.
