About The Position

Human Resources Administrative Assistant Location: Rancho Bernardo Non-Exempt On-site Pay Range: $24-33 Based on experience JOB SUMMARY: Provide administrative support, knowledge and guidance to employees, shareholders and third- party administrators through the employee lifecycle.

Requirements

  • Literate in English and Spanish is required
  • High level of professionalism and confidentiality is required
  • Must be able to understand different points of view, offer insight, deescalate conflict and provide objectivity
  • Strong knowledge of MS Office, must know how to build spreadsheets and create formulas
  • Excellent calendar management skills
  • Able to prioritize and remain organized in a fast past environment
  • Able to communicate simply and clearly with all levels, especially with sensitive information
  • Ability to manage workload, meet deadlines and see assignments through to completion with minimal supervision
  • Excellent interpersonal and communication skills, verbal and written
  • High degree of accuracy, organization and attention to detail

Responsibilities

  • Maintain proper retention and storage all employee personnel and benefit files
  • Serve the needs of employees and third parties by answering questions, providing information and addressing concerns
  • Handle sensitive information with confidentiality and professionalism
  • Audit HR related billing, records and reports
  • Monitor recruitment portal and assist hiring managers with resume reviews, background and drug screening requests, interviewing, and/or scheduling applicants
  • Update platforms providing HR resources
  • Update and circulate reports
  • Refresh job descriptions
  • Provide Anniversary communications and gifts
  • Process incoming EDD unemployment/disability requests
  • Complete employment verifications in accordance with company policies
  • Administer on-boarding process with all new hires
  • Schedule HR related trainings and meetings
  • Document COVID safety tracking
  • Digitize records and manage files
  • Prepare disciplinary documents for Management
  • Craft HR communications
