About The Position

The Human Resources Specialist performs various confidential, administrative, and clerical tasks to support the overall operations of the Human Resources Department. This position is responsible for benefits administration, leave & ADA management, new employee orientation, support and assist with other functions including recruiting, onboard new employees, workers compensation claims and respond to department inquiries while fostering a positive workplace culture.

Requirements

  • High school diploma or equivalent required.
  • Minimum of four years of related experience in the human resources field is required.
  • Support Employee Relations: Foster a positive and productive workplace by addressing employee concerns, resolving conflicts, and promoting open communication between employees and management.
  • Follow-Through: Strong commitment to completing tasks and projects, with a proactive approach to follow up on outstanding items and ensure timely resolution.
  • Attention to Detail: Ensures accuracy in all HR records, compliance checks, and administrative tasks.
  • Strong Communication: Able to engage effectively with employees at all levels and provide clear explanations.
  • Confidentiality: Maintains discretion and privacy regarding sensitive employee information.
  • Problem-solving: Capable of identifying and resolving HR-related issues proactively.
  • Multitasking: Able to handle multiple ongoing projects and priorities efficiently.
  • Adaptability: Flexibility to adjust to changing priorities and unexpected challenges

Nice To Haves

  • Bachelor’s degree in human resources, Business Administration, or a related field preferred, or a combination of relevant experience and education.
  • Some college coursework in Human Resources, Business Administration, or related fields is highly desirable.
  • Experience with employee relations, benefits administration, and HRIS systems preferred.

Responsibilities

  • Benefit Administration o Assists employees with enrollment.
  • Coordinate insurance for new hires and monitor deductions for newly eligible employees to ensure accuracy.
  • Manage qualifying events.
  • Manage dependant age events.
  • Manage repayment of benefits due to missed benefit premiums.
  • Serve as the point of contact with the benefit vendor.
  • Reconcile benefit invoices and ensure discrepancies are resolved.
  • Manage the six month stop loss COBRA requirement with employees who are out on leave.
  • Notify of FSA Terminations for COBRA Administration.
  • Manage leave requests and ADA accommodations.
  • Serve as the point of contact for employees.
  • Respond to all inquiries in a timely manner.
  • Manage leave process to ensure employee completes the required process.
  • Update HRIS to reflect leave or accommodation.
  • Ensure all the required notices, updates and documentation received from the TPA is saved in the employee file.
  • Notify the employee’s manager/supervisor when the employee requests leave.
  • Notify the employee’s manager/supervisor when the leave is approved by the TPA.
  • Serve as the point of contact for the TPA.
  • Respond to all inquires in a timely manner.
  • Conduct new employee orientation and onboarding.

  • Ensure orientation materials are up-to-date and provide a welcoming environment for new hires by preparing all necessary documents and presentations.
  • Respond to HR department inquiries
  • Respond to Helpdesk and Ask Here inquiries in a timely manner.
  • Support with the following operations:
  • Assists with recruiting efforts when needed.
  • Process workers compensation claims and maintain compliance.
  • Maintain accurate employee records and confidentiality.
  • Serve as back-up for new hire pre-employment meetings.
  • Promote the mission, vision, and values of Galen Medical Group.
  • Report to work on time and as scheduled.
  • Represent the organization and department in a positive & professional manner.
  • Must adhere to HIPAA guidelines at all times in order to maintain the highest level of patient confidentiality.
  • Compliance with all department and company policies, procedures, and regulations.
  • Participate in performance improvement and continuous quality improvement activities.
  • Attend regular staff meetings and in-services as directed.
  • Consistently demonstrate the value of the team concept.
  • Other duties as assigned.
