About The Position

This position is responsible for the daily administrative and Human Resources (HR) duties at a Department of Corrections (DOC) institution, specifically the Virginia Correctional Center for Women. The role involves providing assistance with recruitment, record maintenance for payroll processing, and clerical support to all employees. Key activities include coordinating meetings, maintaining employee records/databases (manual and electronic), and posting job advertisements. The Human Resource Assistant acts as a liaison between HR and employees to ensure smooth communication and prompt resolution of requests and questions. Additionally, the role provides clerical and administrative assistance to the Human Resources Officer (HRO) to ensure accurate and efficient administration of HR operations, including recruiting, payroll processing, benefits administration, personnel file maintenance, data entry into various systems (Page-up, Cardinal, BES, and the database), and assisting with time/leave maintenance when necessary. The assistant also serves as an HR advocate, supporting the HRO in day-to-day duties to deliver effective customer service across all areas of Human Resources.

Requirements

  • High School Diploma or Equivalent.
  • Proven experience as an HR Assistant, Staff Assistant, or relevant human resources/administrative position.
  • Knowledge of federal, state policies and procedures related to Human Resources including Fair Labor Standards Act (FLSA), Family Medical Leave Act (FMLA), Virginia Sickness and Disability Program (VSDP), Americans with Disabilities Act (ADA), and Worker’s Compensation.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills to interact with all levels of management with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational and time management skills with attention to detail.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
  • Effective HR administration and people management skills.
  • Exposure to payroll practices.
  • Good understanding of HR functions and best practices.
  • Knowledge of general Human Resource policies and procedures.

Nice To Haves

  • Hands-on prior experience with an HR system (such as HRIS or HRMS).
  • Familiarity with HR applicant software and resume databases.
  • Some experience as an HR Assistant will be preferred.
  • Knowledge of Department of Corrections (DOC) policies and procedures related to Human Resources.
  • Working knowledge of timekeeping practices.
  • Courses in business, office practices and procedures, and automated business applications.
