Position Overview This role is remote. Vantage is seeking a detail oriented and analytical HRIS Analyst to join our People & Culture team. As an HRIS Analyst, you will play a critical role in the day-to-day administration and maintenance of our People systems, with a focus on optimizing and supporting our HRIS (Workday). The role is responsible for managing contingent worker onboarding in our HRIS, responding to support tickets, and maintaining up to date tracking of our support activity. You will be responsible for ensuring the accuracy, integrity, and security of people data, as well as providing technical support and data analysis to help inform our People & Culture strategies and decisions. This role requires a strong understanding of P&C processes, systems, and data management, along with the ability to collaborate with cross-functional teams.

Requirements

  • Minimum of 2-4 years of experience working with Workday, including basic navigation, data entry, and troubleshooting.
  • Prior experience providing tier-1 support via tickets, email, or help desk channels.
  • Experience supporting onboarding processes; contingent worker onboarding experience preferred.
  • Experience working with spreadsheets or workflow tools (e.g., Smartsheet, Excel, Google Sheets).
  • Experience in HRIS data management, reporting, and analytics.
  • Strong attention to detail with a commitment to data accuracy and confidentiality.
  • Excellent communication skills with the ability to support managers and employees in a professional, approachable manner.
  • Ability to explain system steps and processes to managers with clarity and patience.
  • Strong written and verbal communication skills, including documenting processes and responding to inquiries.
  • Ability to manage multiple tasks, prioritize workload, and meet deadlines in a fast-paced environment.
  • Strong analytical and problem-solving skills, with attention to detail and accuracy.
  • Ability to handle sensitive and confidential information with discretion.
  • Problem solving and critical thinking skills to identify and escalate issues appropriately.

Responsibilities

  • Provide Tier 1 HRIS Support: Serve as the first point of contact for HRIS related inquiries and support requests. Troubleshoot system issues, guide users through workflows, and escalate more complex matters to senior team members as needed.
  • Ensure the accuracy and integrity of our people data through regular audits, data entry, and data maintenance activities.
  • Administer Contingent Worker Onboarding Process: Process contingent worker onboarding tasks in Workday. Ensure data accuracy and compliance with internal guidelines.
  • Maintain a strong understanding of Workday’s contingent worker notifications and downstream processes, to ensure accurate guidance and timely completion of required steps.
  • Partner directly with managers as needed to guide them through required steps, and answer questions related to onboarding requirements.
  • Serve as a reliable resource to ensure managers understand timelines, documentation needs, and system responsibilities, helping create a smooth and compliant onboarding experience.
  • Data Entry and Quality Assurance: Enter and update employee data in the HRIS with a high level of accuracy.
  • Prepare reports to conduct routine data checks to identify missing or inconsistent information.
  • Partner with internal stakeholders to correct data discrepancies.
  • Manage Support Tickets and Tracking: Monitor the HRIS support inbox daily, ensuring timely intake, documentation, and resolution of requests.
  • Maintain clear and accurate notes in the ticketing tracker to support transparency, follow-through, and reporting.
  • Ensure data consistency and process support metrics on a weekly basis.
  • User Training and Documentation: Develop and deliver training materials, ensuring the end users are knowledgeable and comfortable using the system.
  • Create and maintain user guides, process documentation, and standard operating procedures for HRIS functions.
  • Serve as a point of contact for HRIS-related inquiries and provide ongoing support and guidance to users.
  • Data Management and Reporting: Generate standard and ad-hoc reports to support P&C, payroll, and other internal stakeholders.
  • Validate report accuracy and ensure compliance with user specific access controls.
  • Perform routine audits, updates, and corrections in the HRIS system to ensure data integrity, compliance with policies, and alignment with organizational goals.
  • Collaborate with stakeholders to analyze data and generate insights that inform decision-making.
  • Compliance and Data Security: Ensure that HRIS and data management practices comply with company policies, legal requirements, and data privacy regulations.
  • Monitor system access and security settings to protect sensitive people data.
  • Additional Duties: Handle additional duties as assigned by Management.
