About The Position

To serve as Administrative Project Specialist to support the Senior Director of Human Resources and the Compensation, Benefits and Risk Management department.

Requirements

  • High School Diploma or equivalent from an accredited institution.
  • Minimum three years of experience in human resources or general clerical experience
  • Proficiency in general office skills, with experience in data entry and word processing
  • Strong interpersonal and communication skills
  • Strong organizational skills
  • Proficient in Microsoft Office and Google Docs
  • Knowledge of district policies and procedures
  • Professional discretion in handling confidential matters and conflict management
  • Ability to perform assigned tasks with minimal supervision

Nice To Haves

  • Some college preferred
  • Knowledge of general compensation and employee benefits practices preferred
  • Bilingual (Spanish) Preferred

Responsibilities

  • Serves as Support to the Senior Director of Human Resources, Director of Customer Service and Director of Recruiting
  • Develops correspondence, memos, and other documents as required.
  • Maintains office files and records related to the Human Resources Directors.
  • Assists with data entry and maintenance of HR databases, reports, and personnel records.
  • Provides exemplary customer service to all district employees on first-level Human Resources issues within the department.
  • Answer phone calls and responds to inquiries or routes calls as appropriate.
  • Monitors department email inboxes, responds to general inquiries, organizes or labels messages for follow-up.
  • Support directors with team building activities.
  • Responds to employee help requests and provides support related to medical leaves, compensation, benefits, recruiting and customer service.
  • Assists with completing the quarterly HR Operations presentation and other assigned presentations.
  • Customize queries to extract information from TEAMS/Frontline as requested.
  • Assist with job descriptions by identifying those requiring revision, sending them to supervisors for updates, and coordinating the review process with the HR Analyst.
  • Enters stipends and differentials into the HRIS software.
  • Assists with the formatting, editing, and revision of the Compensation Plan.
  • Assists with collecting and organizing data for the annual TASB and general market reviews.
  • Communicate changes in from HR/compensation team to payroll.
  • Scans and organizes all case-related documents.
  • Assists with performing absence audits.
  • Assists with sending retirement packets to retirees and scheduling retirement meetings.
  • Assists with processing return-to-work and/or exhaustion notifications.
  • Responds to employment verifications from National Benefit Services and benefit verification requests from employees.
  • Responds to help requests from retirement vendors.
  • Provides support for district employee wellness program
  • Assists with medical or supplemental payment invoicing. Receives and processes benefit payments from employees.
  • Assist employees in completing benefit enrollment forms.
  • Identify opportunities to streamline HR processes such benefits enrollment or leave tracking.
  • Performs other duties as assigned.
