About The Position

The Recruitment Administrator supports the entire hiring process by managing candidate communication, applicant tracking systems, scheduling interviews and maintaining recruitment documentation. The role involves a comprehensive cycle of finding, attracting, and hiring candidates for open positions through building talent pipelines.

  • Bachelor’s degree in Human Resources or related field or an equivalent combination of education and experience.
  • 2 years relevant experience in HR, administration, or customer service.
  • Familiar with recruitment processes, employment laws, and HR policies.

Responsibilities

  • Source and attract potential candidates through social media, job boards, professional networks, and direct outreach to build talent pipelines
  • Collaborate with hiring manager and HR manager to create compelling job descriptions that define job requirements, and post internally and externally.
  • Review resumes and applications, conduct pre-screening calls, and use interview processes to assess candidate’s qualifications and fit.
  • Process candidate dispositions within the HRIS system weekly ensuring all applicants are moved to the appropriate stage.
  • Schedule and coordinate interview between candidates and hiring managers, ensure clear communication of dates, times, and expectations.
  • Cultivate positive relationships with candidates, proactively providing weekly status updates them and support during the hiring and onboarding process.
  • Extend job offers, negotiate terms with candidates, and facilitate onboarding to completion.
  • Track key recruitment metrics such as time to fill, time to onboard and provide weekly recruitment reports.
  • Ensure the efficiency and accuracy of recruitment activities, maintain accurate records and uphold compliance with legal and company standards.
  • Maintain and updating recruitment database (through ADP) timely and consistently.
  • Coordinate teams meetings, manage company calendars, and organizing onsite/offsite recruitment events.
  • Manage complex travel arrangement, book accommodations, and filing expense reports for staff and visiting candidates.
  • Tracking inventory and ordering office supplies.
  • Coordinate departmental lunches, meetings, catering and office event logistics.
  • Handling incoming phone calls, emails, and greeting visitors in a professional manner.
  • Additional responsibilities as needed.
