About The Position

The HR Operations Specialist is responsible for delivering consistent, compliant, and employee-centered HR operational support across the employee lifecycle. This role partners closely with the HR Director of Core HR Processes and the broader HR team to execute and continuously improve HR administration, HRIS data integrity, compliance processes, reporting, and onboarding/offboarding workflows. The ideal candidate is detail-oriented, systems-savvy, service-minded, and comfortable working across multiple priorities in a fast-paced environment.

Requirements

  • 2+ years of HR operations, HR administration, HRIS support, or related experience.
  • Experience processing HR transactions and maintaining employee records with high accuracy.
  • Strong proficiency with HRIS systems (e.g., Dayforce, Workday, UKG, ADP, Paycom, Paylocity, BambooHR, etc.) and Microsoft Excel (filters, pivot tables, basic formulas).
  • Working knowledge of core HR processes and compliance fundamentals (e.g., recordkeeping, onboarding documentation, confidentiality).
  • Excellent organizational skills with the ability to manage multiple deadlines and competing priorities.
  • Strong written and verbal communication skills; service-oriented mindset.

Nice To Haves

  • Experience in property management, multifamily, hospitality, or a multi-site environment.
  • Experience supporting reporting/analytics and presenting insights to HR leadership.
  • Familiarity with process mapping, workflow documentation, or continuous improvement methods.
  • HR certification (a plus): PHR/SPHR or similar.

Responsibilities

  • Coordinate and execute new hire onboarding, including pre-hire documentation, system setup, I-9/E-Verify (as applicable), orientation scheduling, and communications to ensure a smooth employee experience.
  • Manage employee status changes (promotions, transfers, terminations, leaves) by processing transactions accurately and on time in HR systems.
  • Execute offboarding steps including separation documentation, system access removal requests, final pay coordination support (in partnership with Payroll), and exit workflows.
  • Maintain HR process documentation (SOPs, checklists, templates) to ensure consistency and scalability.
  • Serve as a primary point of contact for HRIS transactions and data audits, ensuring accuracy, completeness, and confidentiality of employee records.
  • Maintain and update employee data including job/position changes, manager updates, compensation fields (as authorized), and organizational structure information.
  • Partner with HR leadership to support HRIS enhancements, workflow automation, and testing for system updates or new functionality.
  • Provide guidance to employees and managers on basic HR systems navigation (as appropriate).
  • Produce recurring and ad hoc HR reports and dashboards (headcount, turnover, staffing changes, compliance tracking, onboarding metrics, etc.).
  • Ensure data quality for reporting by performing routine audits and reconciling discrepancies across systems.
  • Support HR and business leaders with workforce insights by translating data requests into clear, accurate outputs.
  • Support ongoing HR compliance activities such as I-9 administration, personnel file maintenance, retention schedules, policy acknowledgements, and required postings/communications (as applicable).
  • Assist with internal audits and requests (e.g., unemployment claims documentation support, verification requests, and file reviews) in alignment with company process.
  • Ensure HR practices align with internal policies and applicable employment regulations, escalating risks or inconsistencies to the HR Director.
  • Provide responsive, high-quality support to employees and managers by answering HR operational questions and routing complex issues to appropriate HR partners.
  • Maintain confidentiality and exercise discretion when handling sensitive employee information.
  • Contribute to continuous improvement of HR services by identifying gaps, proposing solutions, and supporting implementation of process updates.
