Ensures efficient workflow management, accurate and consistent Workday transactions and data, and clear intake, prioritization, and resolution of operational requests. By managing transactional, coordination, and system-related activities, this role enables HR Business Partners to focus on strategic, advisory, and high-judgment business support. Starting Hiring Range: $35/hr. - $41.59/hr. OVERVIEW OF POSITION: This role serves as the intake, coordination, and operational backbone for Associate Relations while also providing support for Workday HCM processes. Its purpose is to ensure work flows efficiently, Workday transactions and data are accurate and consistent, and operational requests are handled through clear intake and prioritization. By absorbing transactional, coordination, and system-related work, this role enables HR Business Partners to focus on high-judgement, strategic, and advisory activities in support of the business.

Requirements

  • Associate’s degree in Human Resources or Business Administration.
  • Minimum of 2 years of experience as an HR Assistant, HR Coordinator, or similar role, preferably within a healthcare or non-profit environment.
  • Experience with HRIS systems (Workday preferred).
  • Strong organizational and time‑management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite.
  • Ability to handle confidential information with discretion and maintain compliance with privacy requirements.
  • High attention to detail and accuracy.
  • Ability to multitask, prioritize, and meet recurring deadlines.
  • Strong customer‑service orientation and collaborative approach within HR and across internal departments.
  • Ability to obtain and maintain a criminal record/fingerprint clearance from the Department of Justice and Federal Bureau of Investigation, per ESSC and/or program requirements.
  • Must pass all required drug testing by ESSC.

Responsibilities

  • Serves as the first point of contact for incoming HR requests; assesses urgency and completeness, routes items to the appropriate HR Business Partner, and tracks follow‑up to support timely resolution.
  • Processes routine and transactional HR activities, including same‑day terminations/offboarding tasks; tracks compliance steps and required documentation, ensures accurate system updates, coordination with cross‑functional partners, and adherence to required procedures.
  • Provides administrative support by collecting, organizing, and maintaining confidential documentation for employee relations investigations and scheduling related activities as needed.
  • Coordinates scheduling needs, prioritizes requests, and helps reduce unnecessary meetings by supporting intake reviews and ensuring leaders’ time is used efficiently.
  • Pulls, organizes, and prepares reports from HR systems to support decision‑making, trend analysis, and operational needs.
  • Responds to general HR policy and process inquiries, escalating complex issues as appropriate.
  • Partners with cross-functional teams to access changes and system updates.
  • Pulls, organizes, and prepares standard reports to support HR operations, compliance needs, and leader requests.
  • Serves as Workday HCM first-level analyst, supporting day-to-day system questions, troubleshooting basic issues, and escalating complex items to HRIS as needed.
  • Partners with HR stakeholders to gather, clarify, and document business requirements related to Workday processes, transactions and reporting.
  • Assists with testing and validation for Workday updates, configuration changes, and enhancements.
  • Creates and maintains process documentation.
  • Runs and maintains standard and ad-hoc Workday reports and dashboards to support Associate Relations
  • Identifies opportunities to streamline workflows, reduce manual work, and improve system adoption and consistency.
  • Acts as a liaison between Associate Relations and HRIS to ensure system changes align with operational needs.
  • Performs other duties as assigned.
