About The Position

The HR Onboarding Specialist is responsible for the new hire process with a primary focus on verifying employment eligibility (Form I-9) and ensuring compliance with USCIS regulations. This role requires careful review of identity and employment authorization documents, proactive resolution of issues, and accurate maintenance of data within the onboarding platform. The goal is to deliver a seamless, compliant, and positive experience for all new hires.

Requirements

• High School Diploma or GED, (Required)
• 2 years Onboarding and/or immigration compliance experience (Required)
• Proficient in computer technology including all MS Office products.
• Strong attention to detail and accuracy.
• Ability to work in a collaborative environment.
• Excellent oral and written communication skills.
• Proficiency in HRIS systems (e.g., Workday) and document management tools.
• Experience interacting with all levels of an organization.

Nice To Haves

• Bachelors Degree, Human Resources or Related Field (Preferred)
• Experience with HCM Workday and/or HR case management systems (Preferred)

Responsibilities

• Oversee the comprehensive review and verification of all I-9 forms and supporting identity and employment authorization documents for new hires.
• Identify and resolve discrepancies between submitted I-9 forms, supporting documentation, and internal data.
• Validate the authenticity, clarity, and expiration status of submitted documents against established guidelines.
• Communicate effectively with new hires regarding document rejections or requests for additional information, providing clear guidance for resolution.
• Stay informed on updates to I-9 regulations and internal policies, ensuring all processes remain compliant.
• Contributes to the overall efficiency of the onboarding process through effective use of technology and adherence to established workflows.
