About The Position

The HR Onboarding Coordinator is responsible for supporting the day-to-day administrative functions of Human Resources, with a primary focus on delivering a seamless and compliant onboarding experience. This entry-level role plays a key part in onboarding, record-keeping, and employee support, while ensuring accuracy, timeliness, and a positive new hire experience. Requirements

  • High school diploma or equivalent
  • 1–2 years of administrative or office-related experience
  • Ability to follow established processes while collaborating effectively with a team
  • Strong data entry and clerical skills with high attention to detail
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment
  • Strong written and verbal communication skills
  • Ability to handle sensitive and confidential information with discretion
  • Proficiency in Microsoft Office (Word, Excel, Outlook)

Nice To Haves

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field
  • Experience with HR systems or databases

Responsibilities

  • Coordinate end-to-end onboarding, including pre-boarding communications, new hire documentation, and first-day readiness
  • Prepare and distribute offer packets and onboarding materials via email
  • Ensure all required new hire documentation is completed prior to the employee’s start date
  • Track onboarding progress and ensure timely completion of all required documentation and tasks
  • Partner with hiring managers to support successful new hire integration
  • Enter and maintain accurate employee data in HR systems (HRIS, timekeeping, etc.)
  • Enroll new employees in timekeeping systems and ensure proper setup
  • Maintain employee personnel files in compliance with recordkeeping requirements
  • Generate and maintain basic HR reports and onboarding metrics
  • Ensure completion of Form I-9s within required timelines and maintain proper documentation
  • Maintain compliance with federal, state, and company policies related to onboarding and employee records
  • Partner with IT to coordinate new hire equipment and system access
  • Support communication between HR, hiring managers, and new hires throughout the onboarding process
  • Serve as a point of contact for new hire questions and general HR inquiries
  • Escalate complex issues to appropriate HR team members as needed
  • Perform other HR and onboarding-related duties as assigned
