We are hiring an Office Coordinator to provide clerical and administrative support, including secretarial, receptionist duties and overall coordination of the daily operation of the supported living, day services and transportation services.

Requirements

  • Ability to interact with staff, individuals served and the public in a positive manner
  • Knowledge of Microsoft Office applications and good computer skills
  • Ability to multi-task and be detail-oriented
  • Leadership, organizational, creativity and excellent written and verbal communication abilities
  • High school diploma or GED
  • Minimum of two (2) years reception/office administration/secretarial experience
  • Two years of supervisory experience.

Responsibilities

  • Assist with reception desk duties on a daily basis, as well as provide coverage during breaks, absences and vacations.
  • Coordinate maintenance and building repair requests with the leasing agent for the administrative and day service locations.
  • Complete training on how to complete the monthly client financial packet and serve a backup to the program coordinators to complete this packet as directed by the Area Director.
  • Receive and keep up to date all filing for supported living and day service consumers for the consumer’s main files.
  • Purge main files per policy and send information to the long-term storage area per policy.
  • Maintain inventory and place office supply orders as needed.
  • Coordinate cleaning of office restrooms and premises including trash removal etc.
  • Maintain conference room schedule and assist in coordinating meetings
  • Maintain an organized system of tracking purchase orders per cost center.
  • Report any suspected abuse, neglect or exploitation immediately to supervisor or department head.
  • Other duties as assigned.
  • Comply with all standards to assure the health and safety of all individuals.
  • Report to work as scheduled
