About The Position

The HR Generalist performs a wide variety of complex human resources activities for the units supported by Bascom Business Services (BBS). This is a key service-oriented position within the BBS team that requires an extremely high degree of initiative and individual judgment. The HR Generalist is responsible for supporting the recruitment and hiring of student employees, such as posting jobs, entering hires into the HR system, and I-9 verification. It also provides logistical support for permanent and temporary employee recruitment, e.g. managing applications, scheduling interviews and record keeping. The position works closely with the Graduate School Fellowship Office, managing over 100 fellowships. The position will work collaboratively within the BBS team on processing HR transactions, creating and maintaining reports, and auditing to ensure compliance, in support of various HR activities. The HR Generalist is responsible for all aspects of payroll processes, therefore attention to detail and time management are of utmost importance. This position requires detailed tasks to be performed efficiently and often simultaneously. The successful candidate must be able to relate well with others, have strong communications skills, be an active listener, and have excellent follow-through. Bascom Business Services supports central administrative units: Office of the Chancellor, Office of the Provost, Offices of Legal Affairs and Compliance, Office of the Secretary of the Faculty, Office of the Secretary of the Academic Staff, University Relations, Strategic Communication, Data, Academic Planning and Institutional Research (DAPIR), Office of Strategic Consulting, Chazen Museum of Art, University Research Park Inc., UW Press, Wisconsin Entrepreneurship Hub, Global Health Institute, Division of the Arts, Officer Education, and the Graduate School. We currently support over 500 FTE including limited appointees, academic staff, university staff, and student assistants, 325 student hourly employees, and dozens of other positions (e.g. Ombuds, Professor of Military Science, Badger Talks). The HR Generalist reports to the HR Director for University Administration.

Requirements

  • Experience in a complex administrative environment
  • Proficiency in Microsoft Office, including Outlook, Word, and Excel
  • Demonstrated analytical and decision-making skills
  • Excellent oral and written communication skills, including the ability to explain complex information in an understandable fashion to a variety of individuals with different levels of knowledge on the topic
  • Ability to exercise sound judgment, discretion, and maintain confidentiality
  • Demonstrated commitment to courteous and responsive customer service, with the ability and desire to work collaboratively
  • Human resources related experience
  • Payroll related experience
  • Demonstrated ability to prioritize workload, manage multiple projects and deadlines effectively, and follow-through on tasks and work unsupervised
  • Demonstrated ability to work independently and in a team setting to establish and maintain effective working relationships
  • Ability to communicate with tact and discretion in difficult employment and personnel situations
  • Knowledge of and/or the ability to learn and apply Universities of Wisconsin and UW-Madison policies and procedures
  • Acute attention to detail

Responsibilities

  • Contributes to the development, implementation, interpretation, and revision of work unit Human Resources policies and procedures according to institutional and legal rules and regulations (10%)
  • Executes and audits work transactions and changes adhering to established policies and procedures to meet anticipated deadlines (25%)
  • Receives, responds to, and resolves employee questions and problems (25%)
  • Represents unit/program at institutional workshops, informational meetings, and training sessions (10%)
  • Serves as lead payroll coordinator. Prepares, organizes, processes, audits payroll; completes payroll transactions and changes adhering to established policies and procedures to meet anticipated deadlines (20%)
  • Provides consultation, performs analytics, and/or maintains personnel files, communications, and materials for work unit through various mediums (20%)
