About The Position

Join Our Team as a Full Time HR Coordinator here at EAC Network! Are you passionate about supporting Human Resource Operations, and making a real difference in their lives of others? EAC Network, a leading not-for-profit social service agency dedicated to helping over 80,000 people through 120 impactful programs across Long Island and NYC, is looking for a dedicated full time HR Coordinator to join our Human Resources Department. Salary: $50,000 to $53,000 per year Schedule: 9AM-5PM, Monday- Friday (Hybrid: 3-4 days in office - 1 day remote) Location: 99 Quentin Roosevelt Blvd in Garden City, NY Primary Purpose of Job: The Human Resources Coordinator is responsible for providing support to the Human Resources team which includes but is not limited to, maintaining the quality and consistency of HRIS database information; and serving as liaison to Paycom (HRIS system) account support.

Requirements

  • Minimum of two years of progressively responsible professional experience in Human Resources (HRIS, Payroll, HR Administration and Data Management, Benefits and Leave Support, and Employee/Manager Support)
  • Experience working with Paycom or other cloud based HRIS systems strongly preferred
  • Advanced Excel experience required.
  • Proficient in computer applications or other automated systems such as spreadsheets, Microsoft 365 applications, etc.
  • Detail oriented, excellent communication, verbal and written, and organizational skills.
  • Strong technical and digital fluency- including use of AI tools, Canva/Adobe for content creation, and platforms like Jotform to build and manage workflows; comfortable improving processes using technology.
  • Ability to handle multiple competing priorities.
  • Maintain strict confidentiality of employee records and sensitive HR information.
  • Regular in-office (Garden City, NY) presence required, typically 3-4 days per week, based on operational needs, with flexibility in scheduling.

Responsibilities

  • Maintains the quality and consistency of HR records.
  • Serve as the first point of contact for employees and supervisors for questions related to general HR topics, timesheets, and accruals.
  • Follows up and resolves issues.
  • Updates/assigns HRIS tables, codes, and security profiles.
  • Process PAFs for new hires, terminations, and status changes.
  • Runs scheduled reports and creates reports as needed.
  • Provides HRIS technical support to Human Resources and other EAC staff.
  • Communicates guidelines and procedures.
  • Keeps abreast of new HRIS system improvements and communicates changes with HR and supervisors as needed.
  • Integrates changes into current processes and procedures.
  • Identifies opportunities for improving Human Resources processes, systems, or operational changes.
  • Assists with implementation.
  • Work with employees and supervisors to resolve issues related to timesheets and time off accruals.
  • Work with the Payroll Manager and Finance Department to conduct semi-monthly payroll review.
  • Track agenda items for regular call with Paycom and take lead on implementation of business process changes and coordinates the resolution of system issues.
  • Troubleshoots, analyzes, detects, identifies, and corrects technical problems and deficiencies.
  • Compile and submit information to third parties related to unemployment claims.
  • Complete Employment verifications.
  • Create monthly newsletter for wellness; assist with wellness related questions.
  • Request modifications to IT/network access for new hires/terminations.
  • Work with IT vendor on general email administration.
  • Facilitation transition to digital filing system.
  • Maintain digital filing system.
  • Provide support to the recruitment team including creating and sharing benefit statements with new hires, position management in Paycom system, creating promotion letters, and collecting job descriptions.
  • Provide support to the Senior HR Operations Manager.
  • Including creating and updating all benefit statements, termination policies related to benefits, reporting New Hires and Terminations to Cobra Carrier, assisting with drafting Leave of Absence paperwork updating trackers related to benefits.
  • Assist with processing invoices related to benefits, payment requests, or other administrative tasks.
  • Assisting with monitoring EACs Vehicle Registrations and insurance to ensure compliance.
  • Deliver finance bank deposits approximately 4 times per year according to the posted schedule.
  • Manage HR/Internal Operations credit card reconciliation, preparation of monthly back up, statements, and ensuring timely and accurate submission of documentation in accordance with finance protocols.
  • Process program coding changes in Paycom, including employee program coding updates; ensure accuracy and compliance with internal procedures.
  • Review and manage employee timesheets, ensuring accuracy, completeness, and timely submission; follow up with staff and supervisors to resolve discrepancies.
  • Track and maintain employee certification and compliance requirements, including monitoring expiration dates, sending reminders, and ensuring records are up to date.
  • Create HR communications and content, distribute on Teams, Email, and semi-monthly newsletter.
  • General HR department administration.
  • Performs all other duties as assigned by Supervisor.
