About The Position

With a record high backlog of boats to build and over three hundred Team Members who make it happen to support, we are seeking a dedicated and enthusiastic Human Resources and Admin Specialist to join the Team. This role is often the “first impression” of our Company to both internal and external Customers. You will provide an outstanding quality customer experience to align with the quality of the products we build.  A fast-paced, multi-tasking, wearer of many hats, this role will support recruiting and on boarding, the Team Member Experience, Training and other company events and initiatives, administrative tasks, and other departments administratively as needed.

  • High School Diploma (GED/High School Equivalence Certificate)
  • 3 years of experience working in a fast-paced Customer-Facing role
  • Position requires use of computer, telephones and other office equipment, reading, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity.
  • Ability to sit and/or stand for long periods of time (up to 10 hours)

  • Experience working in a manufacturing environment preferred
  • Knowledge and experience with Salesforce, ADP, and/or similar software preferred.

Responsibilities

  • As the company’s receptionist, answers phone calls and routes accordingly.
  • Screens calls to gather as much information as possible prior to routing. Answers questions when able.
  • Conducts regular radio checks with Emergency Responders to ensure their availability (twice per day)
  • Tracks incoming phone calls to monitor volume by department/category and response times
  • Ensures Customers are responded to within expected timeframes.
  • Prioritizes urgent calls from customers and finds help immediately
  • Routinely checks voicemails for a variety of departments and follows up with Team Members to ensure appropriate response.
  • Greets/assists visitors to SAFE Boats (responsible for overseeing and maintaining the front lobby/reception area)
  • Ensures required forms are completed by guests- Liability release, medical screenings, etc.
  • Maintains lobby cleanliness
  • Manages flags/flagpoles- ensures flags are in good order, the appropriate ones are flying at the appropriate times. Maintains an inventory of flags and replaces and adds when necessary. Ensures flag protocols regarding holidays and half- staff are followed.
  • Ensures PPE is stocked and available for guests, issues and collects
  • Ensures required forms are completed by guests- Liability release, safety briefs, etc
  • Assists Team Members and external customers with company store purchases and “swag”
  • Orders drinks for complimentary beverage service for Team Members during hot weather.
  • Acts as main organizer/ coordinator for monthly Team Member lunches and supports Team Member events
  • Tracks Team Member anniversaries and orders awards (external and internal)
  • Tracks training and certification credentials for Team Members, works with HR team to populate employee talent profiles in ADP
  • Creates, suggests, gathers and uploads information to SAFE TV for TM communications
  • Assists SAFE Boats Team Members with questions and routes to the right person/department
  • Supports Human Resources Department with administrative tasks- filing, document preparation and distribution, creating binders, etc.
  • Coordinates and schedules on-boarding activities for both HR and Health and Safety Departments
  • Supports the coordination of training activities for the organization as a whole
  • Regularly inventories office supplies, kitchen/break room supplies, and other related items are readily available.
  • Organizes and maintains office supply area and copy room(s)
  • Collaborates with Marketing and Human Resources to identify, order, and organize branded apparel and swag items
  • Orders sundries and office supplies and furniture (Costco, Staples, Amazon, etc)
  • Oversees the break room vendor/supplier- that it is regularly stocked, POS is operational, items are fresh, etc
  • Oversees “public areas” such as the break room, meeting spaces, etc for cleanliness and organization
  • Posts Labor, Human Resources, and EHS information in designated areas for TM communication and company compliance
  • Coordinates “Shred It” (document shredding) services
  • Acts as Point of Contact for Water Coolers- ensures stock and service standards are met
  • Sorts incoming mail and distributes to recipients
  • Maintains, updates, and distributes Company TM Directory approximately once a month.
  • Posts general information onto SharePoint (announcements, general info) for Team Member visibility and access
  • Updates Team Member photo board/directory monthly
  • Updates Team Member birthday and anniversary boards
  • Creates, distributes (to offsite facilities) and communicates birthday and anniversary lists
  • Updates Veteran’s banner twice per year
  • Acts as Point of Contact for SAFE Boat’s off-site document storage. Maintains a log of inventory, requests information if/as needed and arranges for boxes to be delivered
  • Provides administrative and misc. support for the company (generates/creates reports, proofs information, collects signatures, schedules meetings, etc.)
  • May perform a variety of office tasks for a variety of Team Members/Leaders to include making copies, packets, filing, etc.
  • Supports company leaders with coordinating meetings and events- space planning, meals/refreshments, handouts, A/V set up, etc.
  • Researches and coordinates off site venues and meetings for Team Members, guests, and customers
  • Supports activities related to hiring:
  • Distributes, reviews, collects and files paperwork related to new hires.
  • Ensures all materials are updated and prepared for New Hire Orientation
  • Prepares and issues uniforms, PPE, and vouchers for new hires.
  • Takes Team Member photos and coordinates badges
  • Under the direction of the Recruiter, may help prepare for recruiting events and job fairs, may attend on request as a Company Representative
  • Arranges for meeting space, training tools, books, and materials and distributes for class/training needs.
  • Proctors testing activities for courses and certifications.
  • Provides support to Finance and Accounting as needed
  • Other duties as assigned
