About The Position

The HR Administrative Assistant (Executive Support Focus) provides high-level administrative and technical support to the Human Resources function and Executive Team. This role is responsible for maintaining the accuracy and integrity of HR systems data, supporting talent and performance analytics, and serving as a trusted administrative partner to leadership. This position requires an individual who is highly detail-oriented, technically strong (particularly in Excel and Word), and comfortable operating as a “right hand” to executives in a fast-paced, growth-oriented environment. In addition, this role serves as the professional anchor for the corporate office, overseeing front desk operations, visitor coordination, and meeting logistics.

Requirements

  • 3-5 years of experience in an HR Administrative or Executive Administrative role within a fast-paced environment
  • Demonstrated experience supporting HR, performance, or talent-related data analytics and reporting (strongly preferred)
  • Advanced proficiency with: ADP Workforce Now (Practitioner/Admin level) Microsoft Excel (Pivot Tables, VLOOKUPs, advanced formulas) Microsoft Word (Styles, templates, mail merge)
  • Exceptional problem-solving skills with the ability to learn new systems quickly
  • Proven ability to handle sensitive and confidential information with discretion
  • Strong professional presence and communication skills, including interaction with senior executives and external stakeholders

Responsibilities

  • Maintain data integrity within the HRIS (ADP Workforce Now), ensuring accurate management of the full employee lifecycle
  • Serve as the primary HRIS practitioner, handling data entry, reporting, audits, and system troubleshooting
  • Support Talent Management System data related to performance reviews, talent assessments, calibration processes, and development tracking
  • Perform advanced Excel-based analysis (Pivot Tables, VLOOKUPs, advanced formulas) to audit payroll, benefits, headcount, performance, and talent data
  • Identify discrepancies and proactively resolve data issues to ensure 100% accuracy
  • Provide direct administrative support to senior leaders, including calendar management, presentation preparation, and drafting professional communications
  • Act as a proactive gatekeeper and trusted partner to leadership on time-sensitive and confidential matters
  • Serve as the first point of contact for visitors, ensuring a professional and welcoming front-office experience
  • Manage visitor registration, security protocols, and lobby presentation
  • Oversee incoming and outgoing mail and packages (FedEx, UPS, DHL)
  • Coordinate logistics for meetings, including room setup, catering, and vendor deliveries
  • Support HR leadership with special projects such as performance review cycles, handbook updates, and compliance reporting
  • Travel to new or expanding locations (up to 20%) to support administrative and HR setup, ensuring new hire documentation and local processes are operational
  • Identify process gaps and independently develop solutions to improve efficiency and accuracy
