About The Position

We are seeking an organized and motivated entry-level HR Administrative Assistant to support the Human Resources department with administrative and operational tasks. This role is ideal for candidates interested in starting a career in Human Resources and gaining hands-on experience across multiple HR functions. The HR Administrative Assistant provides clerical support, assists with onboarding and employee documentation, and serves as a resource for internal employee inquiries while maintaining a high level of professionalism and confidentiality.

Requirements

  • High school diploma or equivalent required (Associate’s degree, HR coursework, or related education preferred).
  • Previous administrative, office, or internship experience preferred but not required.
  • Basic knowledge of office procedures and professional workplace practices.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); willingness to learn HR systems.
  • Strong organizational skills with attention to detail.
  • Ability to manage multiple tasks and work in a fast-paced office environment.
  • Professional demeanor with a customer-service mindset and commitment to confidentiality.

Responsibilities

  • Provide day-to-day administrative support to the Human Resources Director and HR team.
  • Maintain and organize confidential employee personnel files, both electronic and hard copy.
  • Assist with new hire onboarding activities, including document collection, orientation preparation, and system data entry.
  • Support employee offboarding processes by assisting with paperwork and notifications.
  • Prepare routine HR correspondence such as offer letters, employment verifications, and internal memos under guidance.
  • Assist with recruitment efforts by scheduling interviews, coordinating candidate communications, and preparing interview packets.
  • Support basic benefits administration tasks, including enrollment paperwork and data entry.
  • Assist with compliance-related tasks such as I-9 documentation, E-Verify processing, and record retention.
  • Respond to general HR inquiries and route questions to the appropriate HR team member as needed.
  • Handle sensitive employee information with discretion and professionalism at all times.
  • Stock corporate office kitchen areas daily and assist in maintaining appropriate inventory.
  • Assist various departments and employees with clerical duties and special projects as requested and as time permits, including data entry, filing, scanning, and record-keeping tasks.
  • Assist with scheduling appointments, meetings, interviews, and conference room reservations.
  • Monitor and order office and HR-related supplies, ensuring inventory is adequately stocked.
  • Prepare correspondence, reports, and other documents as requested.
  • Provide support for office events, onboarding sessions, meetings, and special projects.
  • Provide notary services as requested for business and HR-related purposes (if applicable).
