About The Position

Human Resources announces an opening for an Hourly Administrative Assistant with The Department of Human Resources. The Hourly Specialist provides confidential administrative and program support to the Substitute Coordinator and Licensure Specialist. The incumbent assists with substitute and licensure related processes, responds to inquiries, routes employees and school based staff to appropriate internal offices as needed, and maintains accurate and secure records in compliance with APS guidelines. Qualifications High School diploma or GED; including or supplemented by courses in business and office practices with a minimum of two years’ responsible clerical experience, preferably in an education related setting. Excellent human relations skills; ability to maintain effective working relationships with employees at all levels in a courteous and tactful manner. Excellence in business English grammar, spelling, and punctuation; must be able to communicate clearly and concisely, both orally and in writing. Experience Knowledge of business and school office procedures, practices, and equipment; business English and office terminology. Knowledge of the operation, uses, and capabilities of computer equipment and computer programs utilized at APS including HRIS systems and Microsoft Office applications such as Word and Excel. Responsibilities Key responsibilities include providing support throughout the full substitute employment lifecycle assisting with recruitment efforts, screening processes, eligibility verification, and onboarding coordination to ensure a smooth and positive experience for candidates. Supports the processing of substitute employment transactions in the APS HRIS, helping maintain data accuracy, compliance, and efficient workflow progression. Assists with monitoring licensure status, expiration dates, and renewal requirements within internal systems to help employees remain in good standing. Maintains accurate electronic and hard-copy licensure files in alignment with record retention guidelines, and provides timely, supportive follow-up with employees regarding missing documentation or pending requirements. Also supports scholarship reimbursement tracking related to licensure coursework. Provides responsive administrative, reporting, and operational support to promote an efficient and service-oriented office environment. Professionalism, discretion, collaboration, and strong customer service skills are essential to successfully supporting employees and school leaders. Requirements
