As a Hospital Inpatient Clinical Operations Coordinator, you play a crucial role in ensuring the smooth and efficient functioning of unit-based operations within the hospital's inpatient unit. This position requires a unique blend of organizational skills, healthcare knowledge, and the ability to collaborate with various stakeholders to optimize patient care and unit-based processes. Responsibilities: Payroll & Scheduling Participates and supports leadership in the maintenance of schedules that reflect assigned shifts, paid time off (PTO), NJ Sick time, and leaves of absence Responsible for payroll functions including time and attendance edits, preparing for final approval by leadership Resolves employee payroll issues accurately and in a timely fashion Monitors exception reports as part of payroll and time & attendance Reviews position control reports and reconciles/documents to ensure accuracy Functions as a liaison with unit personnel regarding benefits, leaves of absence, etc. Resource Management Prepares purchase orders as needed to adequately supply the unit with essential supplies; assists in stocking as needed Reviews personnel productivity reports to ensure accuracy with schedules Monitors and reports on resource utilization (supplies and personnel) to aid in the identification of areas for improvement Essential Work Requirements Coordination Maintains personnel files and documents including licensure renewal, completion of mandatory education, annual competencies, certifications, etc. as assigned Works with leadership to ensure that team members are up-to-date with the latest healthcare protocols and procedures. Collaborates with nursing professional development to coordinate clinical rotations of nursing students Quality & Safety Management Supports leadership in meeting 100% compliance with personnel occupational health requirements Participates in environment of care rounds; follows action plan for resolution of deficiencies, as indicated for role Functions as primary liaison between EVS and nursing unit, rounds with EVS and unit leadership as appropriate to ensure compliance with established environment of care standards Initiates and coordinates all work requests with facilities management, biomedical services, and information technology; follows up with unit leadership to ensure requests are addressed as intended Assists in ensuring compliance with standards specified by TJC, CMS and the NJDOH Interdepartmental Collaboration Helps to foster effective communication and collaboration between different departments, including nursing, pharmacy, laboratory, and radiology, to enhance overall patient care delivery. Emergency Response Coordination Assists leadership in maintaining emergency response plans for the inpatient unit, ensuring personnel readiness for various scenarios. Coordinate with emergency response teams to handle crises efficiently. Data Analysis and Reporting Assist in analyzing unit-specific data, including improvement initiatives, satisfaction scores and operational and/or throughput metrics. Generates regular reports for leadership, as requested, identifying trends. Patient and Family Liaison Act as a liaison between patients, their families, and healthcare providers, addressing concerns and facilitating effective communication.
