We are seeking a detail-oriented and organized Healthcare Administrative Coordinator to join our team! This is an entry-level administrative role ideal for someone interested in gaining hands-on experience in healthcare operations, documentation, and coordination. In this position, you will support internal teams and external physician offices by assisting with document requests, tracking paperwork, and maintaining accurate records. This role focuses on administrative coordination, communication, and data entry, with training and support provided.

Requirements

  • High school diploma or general education degree (GED); combination of education and 1 year of experience
  • 0 - 2 years in an office, administrative, healthcare, or customer-facing role
  • Basic working knowledge of Microsoft Office (Word, Outlook, Excel)
  • Ability to read & write in simple correspondence with effective public speaking in small groups – may be required in more than one language
  • Basic math skills (addition, subtraction, multiplication, division) used for routine administrative tasks
  • Ability to follow detailed written instructions and ask questions when clarification is needed
  • Emerging problem-solving skills with the ability to manage routine variables and processes
  • Basic to intermediate computer skills to include Microsoft Office Suite & database activity
  • Handle multiple tasks simultaneously
  • Strong attention to detail, organization, and follow-up skills

Responsibilities

  • Assist with monitoring and tracking monthly and quarterly administrative key performance indicators (KPI’s)
  • Contact doctor offices to verify and confirm receipt of paperwork, and for status update of outstanding orders
  • Verify client primary care physician information and routine visit details as needed
  • Update and maintain acccurate physician information in KanTime system on an ongoing basis
  • Process and upload paperwork received daily into internal systems
  • Maintain open communication with therapist & caregiver and other departments of client status and any delays
  • Gather all outstanding paperwork for Community Relations team (CR) to deliver and retrieve signatures on orders.
  • Comply with all safety policies, practices & procedures & report unsafe activity to your supervisor
  • Participate in proactive team efforts to achieve departmental & company goals
  • Attend team routine meetings as needed.
  • Perform other duties as assigned
  • Provide leadership to others through example and sharing of knowledge/skills
