Requirements

  • Education: Bachelor’s degree in Business Administration, Occupational Health & Safety, Information Management, or a related technical field.
  • Experience: 5+ years of experience in Document Control or Systems Administration, specifically within a high-hazard industrial environment (Mining, Oil & Gas, or Heavy Construction).
  • Software Proficiency: Advanced Google Workspace Administrator skills.
  • Technical Knowledge: Deep understanding of the document lifecycle, version control, and records management metadata.

Nice To Haves

  • Certifications: Certified Document Control Professional (CDCP).
  • Internal Auditor certification for ISO 45001.
  • Software Expertise: Previous experience with Google Workspace.
  • Regulatory Knowledge: Familiarity with specific surface mining regulations regarding record-keeping (e.g., training records, equipment maintenance logs).
  • Process Improvement: Demonstrated experience in migrating a site from a paper-based or manual system to a digital/automated management system.

Responsibilities

  • Program Ownership: Design and maintain a site-wide Document Control framework that governs the creation, approval, distribution, and archiving of all site documentation.
  • System Implementation: Act as the technical Lead for the Safety Management System (SMS) software, ensuring workflows for incident reporting and risk assessments are functional and user-friendly.
  • Quality Assurance: Perform regular audits of Standard Operating Procedures (SOPs) and Job Hazard Analysis (JHAs) to ensure they are current, technically accurate, and formatted to company standards.
  • Compliance Governance: Ensure the site is "audit-ready" at all times for external regulatory bodies (e.g., MSHA, OSHA) and ISO standards.
  • Stakeholder Training: Train site personnel on how to use the document control system and follow HSQ protocols.
  • Reporting & Analytics: Generate monthly reports on system health, document revision status, and safety lead indicators for the site leadership team.
