About The Position

Based in Irving, Orlando, or Las Vegas, this role plays a critical part in supporting production operations for live events and exhibits. The Expo Group is seeking a Graphic Coordinator to coordinate schedules, track workflows, manage reporting, and ensure clear communication across internal teams and external partners, helping production activities stay on track and maintain visibility into project status. The Expo Group is a trusted exhibition and events partner helping organizations grow their attendee, exhibitor, and sponsorship revenue through the design and execution of unique, compelling, and memorable experiences. The company is headquartered in Irving with offices in Orlando, Chicago, and Las Vegas.

Requirements

  • Strong organizational and time-management skills

  • Effective written and verbal communication skills
  • High attention to detail and accuracy
  • Ability to work cross-functionally with internal teams and external partners
  • Proficiency with Microsoft Office Suite and collaboration tools

  • Prior experience in production coordination, administrative support, or project tracking preferred

Responsibilities

  • Maintain and update production schedules to support operational workflows
  • Track project milestones, work orders, and deadlines
  • Update and manage production grids and workflow systems
  • Monitor work order timelines and identify potential scheduling risks
  • Compile and distribute weekly and monthly production reports
  • Prepare reports related to material usage, labor hours, errors, and production volume metrics
  • Gather data for KPI tracking and assist with dashboard maintenance
  • Communicate with external vendors regarding timelines, deliverables, and documentation
  • Track vendor documentation and follow up on outstanding items
  • Coordinate travel arrangements and related documentation for leadership
  • Oversee timesheet collection and support compliance efforts
  • Maintain departmental documentation, files, and records
