About The Position

The Grants Management Analyst-Pre Award works with the Lead Grants Management Analyst and AVP Clinical Research to coordinate all pre-award grant activity. They serve as a trusted research admin professional within Research Intelligence Office of Sponsored Research and the Northwell community, accepting workflow assignments and providing a high level of service in preparing grant proposals for timely submission. This position requires unwavering commitment to service and excellence in a demanding, deadline-driven environment. This position serves as a liaison between investigators and staff to meet proposal objectives and submission deadlines, using a variety of communications methods. Adaptability and flexibility to accommodate ongoing changes to internal and external policies and regulations; facilitating short lead times on proposal or project deliverables; balancing conflicting priorities; and contributing and adjusting to a continuously evolving environment are vital.

Requirements

  • Bachelor's Degree required, or equivalent combination of education and related experience.
  • 1-3 years of relevant experience, required.

  • Experience developing, reviewing or analyzing grant budgets.

Responsibilities

  • Provide pre-award administrative assistance, guidance, and oversight to investigators and administrators seeking external funding for clinical research and other related sponsored projects through the complex process of proposal preparation and submission.
  • Review and submit proposals in a timely manner and ensure submissions are completed accurately and according to sponsor deadlines, in accordance with federal and state laws, sponsor guidelines, and Northwell policies and procedures governing sponsored clinical research.
  • Provide direction, training, and assistance to investigators and administrators in proposal development, including advising on budget structure, allowable costs, and sponsor requirements.
  • Review and validate proposal budgets prepared by investigators or departmental staff to ensure compliance with sponsor and Northwell policies and procedures and, when appropriate, provide more detailed support for complex or strategic proposals.
  • Guide investigators in the development of new or revised project budgets, including just-in-time submissions, ensuring project-appropriate costs and use of current fringe benefit and facilities/administrative rates.
  • Obtain all necessary clearances and authorizations prior to submission, including required training mandates and disclosures.
  • Serve as the primary source of expertise to ensure that proposals meet sponsor requirements and applicable regulatory compliance standards.
  • Review terms and conditions on proposal solicitations and award documents as appropriate.
  • Collaborate with appropriate managerial staff on exceptions to Northwell policies, including program matching commitments and facilities and administrative rates.
  • Keep abreast of federal and state laws, regulations, sponsor guidelines, and institutional policies governing the administration of clinical research grants and cooperative agreements.
  • Analyze and interpret complex information from multiple sources, including funding opportunity announcements, sponsor submission procedures, and sponsor electronic research administration systems.
  • Serve as liaison between Principal Investigators and sponsors and represent Northwell within the scope of authority in negotiations related to sponsored research commitments, including just-in-time budget adjustments.
  • Collaborate with other institutional officials to negotiate terms for interdisciplinary, complex, and non-standard proposals.
  • Partner with other OSR staff to facilitate agreements including subcontracts, clinical trials, and state agreements to ensure conformity with Northwell policies.
  • Administer grant transfers into the institution and coordinate with incoming investigators and other Northwell offices.
  • Contribute to the workflow, business processes, and policy improvements within the Office of Sponsored Research.
  • Share responsibility and provide input to OSR committees regarding website content and communication strategies, including OSR bulletins.
  • Assist with data collection, reporting, and institutional metrics related to sponsored research activity.
  • Provide coverage and back-up administrative support to other members of the team.
  • Assist in training new pre-award staff and develop or present training materials to OSR staff and the Northwell research community.
  • Serve as a member of the team supporting training and adoption of the Huron Grants module.
  • Attend workshops, professional development programs, and conferences to maintain and enhance grant administration expertise and stay current with evolving sponsor submission requirements.
  • Perform other duties as assigned.
