About The Position

With extensive institutional and departmental knowledge, this position works within a graduate program(s) to coordinate students regarding their academic planning and progress across ELP Academic Programs. This position will assist the University in promoting a climate of respect and belonging that cultivates and sustains transformative practices by forging spaces of possibility where all people feel safe, valued, welcomed, and respects all students in their quest for individual success through graduate degree programs.

Requirements

  • Bachelor’s degree or equivalency (one year of education can be substituted for two years of related work experience).
  • 4 years’ of related experience.
  • Demonstrated human relations and effective communication skills

Responsibilities

  • General knowledge of all ELP Academic Programs, and serves as first point of contact for program information via telephone and email. prospective and current students.
  • Meets with students to provide information and guidance on academic-related issues, such as graduation requirements and exceptions, major exploration, course planning and registration, transfer credit evaluation/substitution or advanced degree requirements.
  • With extensive institutional knowledge, acts as a resource for graduate student roles and is a liaison between the department and the Graduate School on campus.
  • Interprets policies set by the Graduate School to meet the unique needs of the academic program or unit.
  • Performs administrative tasks to support graduate student programs and planning, including but not limited to, record-keeping, grade changes, registration and/or permission codes, program of study coordination, course scheduling and planning, and graduation tracking, and monitoring and reporting of course fees.
  • Coordinate student financial support/programming for department, including Tuition Benefit Program, scholarships, graduate assistantships, and conference travel fund.
  • Provides logistical support for graduate student admissions processes.
  • Department point person for SLATE , the new University-wide admissions application review platform, training new faculty as needed.
  • Coordinate and organize admission portfolios for each of the department’s seven graduate programs.
  • Processes graduate school applications and coordinates with graduate committees with any interview processes.
  • Maintains prospective student recruitment lists.
  • Provides logistical support for graduate student recruitment processes.
  • Participates in recruitment events, programs, and activities for potential graduate student candidates.
  • Actively participates in campus-based professional development communities, including but not limited to GAPA (Graduate Advisory Professional Association) or other relevant campus-based organizations that directly impact their position. Duties include sub-committee chair/participation.
  • Collects and disseminates information to students, faculty and departments about changes in degree requirements or university and college policies and adjusts advising strategies as appropriate.
  • Supports development and implementation of academic and student success programming for students in the department. Including, but not limited to activities such as overseeing a mentoring program, student organization, speaker series, writing workshops, group advising sessions, conference presentations, and other programs that supports graduate student success and timely completion.
  • Coordinates logistical aspects of curriculum changes and submissions at the program level and supports departmental, college, and university curriculum change processes.
  • May serve on University committees and makes recommendations that affect curriculum requirements, advising processes and program development and published materials.
  • Acts in partnership with faculty to coordinate scheduling exams, programs of study, and defenses.
  • Assists students with developing a working relationship with faculty in the assigned program and establishing graduate student committees.
  • Coordinate and plan events management related to graduate programs, graduate student orientation, graduate conferences, and professional development events.
  • Maintains internal department student database, inputting and gathering student data as needed for surveys or reports.
  • Facilitate class scheduling – coordinate each semester with Department Chair and Programs Directors, enter into CLSS system. Monitor frequently for errors. Make room assignment changes as needed.
  • Maintaining all Student Records in Graduate Tracking System, including: Supervisory Committees, Programs of Study, Exams, Petitions – i.e., non-matriculated credits etc, Leave of Absences, and Graduation
  • Works with practicum supervisors, administrative licensure students, College of Education Licensure coordinator, and the Utah State Board of Education to process administrative licenses.
  • Engage in communication strategies in support of outreach and recruitment, program development, and alumni engagement. Various communication mediums include social media, email, print, website, and others as needed.
  • Maintain all department listservs.
  • Other Duties as assigned.
