About The Position

The Graduate Admission Coordinator provides a broad range of administrative and communications support to the Office of Graduate Admission. The incumbent participates in web and social media content management, management of student workers, management of online experiences, and oversees general communication. This position will perform other duties as needed.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Strong analytical skills to evaluate trends, systemic factors that influence enrollment decisions and prospective student population, and advocate for innovative recruitment and outreach strategies that attract the most competitive candidates.
  • Understanding of marketing principles and practices with the ability to apply them and enhance the recruiting efforts.
  • Demonstrated ability to work independently and evaluate data, access alternatives, formulate logical recommendations and decisions.
  • Strong computer skills in the use of word processing, spreadsheet, presentation, database, internet and electronic mail software, preferably of Microsoft Office Suite applications.
  • Technical ability to learn and use enterprise software.
  • Ability to use standard office equipment and knowledge of current office practices and procedures.
  • Strong communication and interpersonal skills with the ability to interact and work with diverse individuals and groups at all organizational levels, both within and outside the University.
  • Ability to interact with the campus community, including applicants, students, faculty, and staff.
  • Familiar and comfortable in working with students, faculty and academic administrators.
  • Strong written communication skills with the ability to prepare, proofread and edit clear, concise and grammatically correct business correspondence and other documents.
  • Ability to organize and prioritize multiple and complex tasks and work on multiple projects simultaneously, completing projects and tasks accurately and efficiently, under pressure and with interruptions, achieving goals and deadlines.
  • Ability to present Chapman University and the assigned graduate programs in a positive and persuasive manner.
  • Demonstrated tact and diplomacy skills and the ability to maintain confidentiality.

Responsibilities

  • Provide general administrative duties for the graduate admission department
  • Monitor graduate inbox email, respond in a timely manner to general inquiries and route as appropriate
  • Generate outgoing letters/packets
  • Coordinate and monitor publications inventory
  • Prepare purchase orders/receive items
  • Update internal reference documents
  • Create email templates, documents, and presentations
  • Process and verify international documents with international counselor
  • Provide communication support for the Graduate Admission unit, including maintenance of general communications, project management, social media management, experiences management, and coordinating with internal and external partners
  • Serve as primary liaison with Admission Communications team for updates, including managing communications projects related to web, social media, online visitor experience, Slate Print, etc.
  • Create, update, and manage webpages via Content Management System ( CMS )
  • Manage social media accounts (Facebook, YouTube, etc.) from research and ideation, to content creation and execution
  • Serve as first point of contact for questions/concerns relating to graduate admission from visitors and callers
  • Manage Unibuddy graduate instance, including set up for graduate programs, managing ambassador program to increase digital engagement and outreach, regular auditing of conversations, and providing usage reports
  • Manage YouVisit virtual tour for Rinker Campus, including maintain/update assets and information, attending quarterly reporting meetings
  • Create and update Slate email communications as needed for all grad communication plans, including prospective students, applicants, and admitted students with the Graduate Communication Lead
  • Manage Slate Print runs
  • Research concerns relating to communications and participate in finding solutions, provides recommendation
  • Serve as project manager for annual SMC publications updates
  • Manage annual updates of decision letters through Slate
  • Attend monthly Communicators Council meetings
  • Hire, train, and supervise graduate student workers
  • Manage student schedules and projects
  • Create and update training guides for students
  • Coordinate yearly graduate training for front desk student workers and update presentation/materials as needed and provide direct support daily (in-person and virtually)
  • Process enrollment deposits in grad systems for select programs
  • Assist with preparation of reports for internal planning and system cross-checks
  • Perform daily, weekly, and monthly audits of files and applications to resolve discrepancies and update/correct information with operations team, provides recommendations and solutions
  • Verify various test scores, and update accordingly in graduate systems
