About The Position

Florida Atlantic University is seeking a Graduate Admission and Events Coordinator - Boca Raton, FL. The Graduate Admission and Events Coordinator plays a key role in supporting graduate enrollment by managing all major Graduate College events, recruitment initiatives, and admissions operations. This position leads end‑to-end event planning, collaborates with marketing and communications on recruitment campaigns, advises prospective students, and ensures accurate and efficient processing of graduate applications and records. The Coordinator also represents the Graduate College at outreach events, delivers presentations to diverse audiences, and provides essential cross‑functional support to advance enrollment and student success goals.

Requirements

  • Master's degree from an accredited institution in an appropriate area of specialization; or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required.
  • Experience supporting university event planning, project coordination, and operational processes required.
  • Experience contributing to student recruitment and retention initiatives required.
  • Experience working with admissions procedures and policies required.
  • Experience in event management required.

Responsibilities

  • Serve as project manager for all Graduate College events and recruitment activities, overseeing end-to-end planning and execution, including development of promotional materials; securing venues, dates, and catering; coordinating participation of university leadership; creating invitation lists; managing budgets; distributing print and digital communications; liaising with vendors; coordinating audiovisual and photography services; overseeing décor and logistics; recruiting and managing volunteers; developing event programs; preparing registration lists; and managing on-site event operations.
  • Collaborate closely with the marketing and communications team to develop and implement advertising materials and recruitment campaigns, including catalogs, websites, digital content, and print materials, ensuring consistent messaging aligned with enrollment goals.
  • Advise prospective and current graduate students on admissions requirements, application status, enrollment processes, and university policies, providing accurate and timely guidance.
  • Review graduate admission applications and audit applicant records, including identifying and resolving errors in system error tables to ensure data accuracy and compliance.
  • Provide cross-functional operational support within graduate admissions using enterprise systems such as Banner, OnBase, and CAS, ensuring efficient processing and documentation.
  • Assist with processing admission decisions in Banner, including clearing registration holds and coordinating with relevant offices to support student enrollment.
  • Process and support requests from applicants and academic departments related to changes of entry term, program concentration updates, and record activation or inactivation, ensuring policy compliance and accurate system updates.
  • Coordinate recruitment initiatives and facilitate group presentations for prospective students across a variety of settings and audience sizes, both on- and off-campus.
  • Represent the Graduate College at education fairs, professional career fairs, and sponsored recruitment events; conduct outreach to employers and external partners; and organize targeted recruitment activities to promote graduate degree programs.
  • Conduct pre- and post-event assessments, analyze participation and outcomes, identify opportunities for improvement, and implement data-informed recommendations to enhance future recruitment and event effectiveness.
  • Perform other job-related duties as assigned in support of Graduate College and enrollment management objectives.
