The incumbent will perform independent work coordinating administrative tasks which are complex in nature and broad in objective with integrated diverse functions.This position requires that the employee gain a thorough knowledge of department organization, functions, policies, and procedures. Processes emergency closure requests and orders within the Bureau with expediency. Ensures all emergency closure documentation is complete, obtains appropriate management signature and submits the orders to the Agency Clerk’s office. Responsible for tracking and maintenance of the emergency closure database with accurate and current information for posting on the department’s webpage. Scans and hyperlinks closure paperwork into the emergency closure database. Assists with the fulfillment of public records requests for the Director’s office as needed in regard to emergency order of suspensions. Serves as a liaison between the Division and the Agency Clerk’s office. Provides customer service (i.e., telephone inquiries, electronic mail box inquiries, customer window assistance), performs special assignments, research and report preparation as needed. Monitors and assists with answering phones and handling inquiries from the public, field offices and other state agencies. Receives and answers inquiries and provides information which may involve explanation of policies and procedures. Refers a variety of industry and district requests to the appropriate district/department for assistance. Responsible for independently reviewing and researching Plan Review applications prior to profiling into Versa: Regulation. Utilizes various tools to assist with the research and profiling of applications, including but not limited to departmental imaging software, mapping search engines, etc. Interacts with personnel from the division, department and industry to obtain information needed to assist in profiling of applications. Serves as senior support team member in the absence of the Operations & Management Consultant II, performing duties including but not limited to: coordinates work unit activities, handles shipping inspection equipment and/or materials to district offices, coordinates printing of information materials for BSSI. Serves as back-up to the Operations Analyst I as needed, ensuring items in district mail bins are assembled and packaged for daily distribution, serves as liaison between the division and mailroom (drop-off and pick-up). Serves as back-up to the Regulatory Specialist II as needed, ensuring all incoming checks are logged into the Central Intake Unit check database and taken to Central Intake Unit in a timely manner. Performs other related work as required.
