About The Position

We are seeking a detail-oriented and service-driven professional to serve as a primary point of contact for public records, reporting, and data requests. This role supports the ongoing management, monitoring, and quality assurance of licensing systems while assisting with data analysis, reporting, and dashboard development. The position collaborates with internal teams and external stakeholders to ensure accurate system functionality, timely updates, and effective communication of project plans and outcomes.

Requirements

  • Six years’ professional experience in data analysis, systems analysis, management analysis, program planning, program research, program evaluation, or administrative work. A bachelor’s degree can substitute for four of the six years.
  • Employment in this position is contingent upon a satisfactory criminal history check (fingerprint-based) in accordance with Chapter 435, Florida Statutes.
  • Knowledge of the methods of data collection and analysis.
  • Knowledge of basic management principles and practices.
  • Knowledge of the principles and techniques of effective communication
  • Skill using Microsoft Office suite and using web-based systems
  • Skilled in fact-finding research, problem solving, and documentation of needs
  • Skilled in verifying accuracy of system setups/data, delegations of tasks, planning and completing of steps necessary to successfully complete projects, coordinating work assignments, and recommending revisions to procedures or standards.
  • Skill with effective communication and organizing and presenting facts in a logical manner
  • Ability to collect, evaluate and analyze data to develop alternative recommendations, solve problems, document workflow and other activities relating to the improvement of operational and system practices.
  • Ability to organize data into logical format for presentation in reports, documents, and other written materials.
  • Ability to conduct fact-finding research.
  • Ability to utilize problem-solving techniques.
  • Ability to understand and apply applicable rules, regulations, policies and procedures relating to operational and management analysis activities.

Responsibilities

  • Assists with the updating, monitoring, and scoping of assigned system(s) according to work plan and office needs.
  • Completes action items related to system functions including setups and regular maintenance needs
  • Monitors and updates regularly scheduled system functions and processes
  • Communicates with internal and external groups to keep them informed of project plans, updates, and upcoming events
  • Provides regular status updates to supervisor
  • Serves as office’s point of contact for inquiries and requests for public records, reporting, and data
  • Coordinates fulfillment of internal and external data and public records requests
  • Recommends solutions and provides technical assistance on routine records management, data requests, and fulfillment problems
  • Assist in creating, analyzing, and distributing reports and visual dashboards as necessary
  • Researches and evaluates data, providing analysis to supervisor and office personnel as needed
  • Uses Microsoft Office Word, Excel, Outlook, state systems and the internet – researching and evaluating information and resolving issues
  • Participates in Quality Assurance processes and testing for assigned licensing system(s)
  • Monitors system performance
  • Participates in system version testing and releases with necessary team members
  • Consolidates testing findings and documents appropriately
  • Promptly and courteously assists, and educates staff, the public, and license agents, etc. with questions, data, and transactions concerning licensing, permitting, and related customer services
  • Coordinates with internal teams on development and refinement of training materials and data needs
  • Responds accurately and timely to internal/external system requests or needs
  • Assists with office-wide administrative functions including preparation for the quarterly Commission Meetings, participation in office planning meetings for staff meetings and events, and coordination with staff on additional needs for high demand periods throughout the year.
  • Other duties as assigned.
