About The Position

The GME Finance Specialist supports the financial operations, billing processes, and compliance activities of the Graduate Medical Education (GME) enterprise at the Kirk Kerkorian School of Medicine at UNLV. This position plays a critical role in ensuring the accurate tracking, documentation, and reporting of resident and fellow training activities required for institutional reimbursement, regulatory compliance, and hospital partner accountability. The role works closely with the GME Office, residency and fellowship programs, and affiliated training sites to support consistent, compliant financial and billing practices across all GME programs. The GME Finance Specialist is responsible for coordinating and monitoring resident and fellow time tracking, rotation schedules, full-time equivalent (FTE) allocations, and billing data in accordance with CMS, Medicare, Medicaid, and hospital partner requirements. This includes auditing monthly schedules, duty hour reports, and billing submissions, maintaining trainee billing information in the residency management system, and providing guidance to program coordinators on documentation standards and reporting workflows. Through these activities, the position helps ensure the accuracy and completeness of data used for reimbursement and institutional reporting. In response to oversight and audit expectations from affiliated hospital partners, the GME Finance Specialist supports a high volume of time-sensitive reporting requests. These requests may include the compilation, validation, and submission of resident and fellow schedules, case logs, duty hour summaries, rotation documentation, and supporting financial data, often within compressed timelines of three business days or less. The position assists with hospital-led internal and external audits related to CMS reimbursement and provides supporting documentation and clarification as needed to maintain institutional compliance and credibility. The GME Finance Specialist also maintains GME financial and billing data across multiple systems, including New Innovations and Workday, and supports required institutional reporting such as Intern and Resident Information System (IRIS) submissions. In addition, the role provides training and consultative support to Program Directors, Program Coordinators, and departmental staff on GME billing policies, time-tracking requirements, and compliance expectations. The GME Finance Specialist reports directly to the GME Director and works in close coordination with the Associate Dean for Graduate Medical Education and Designated Institutional Official (DIO). Through diligent financial coordination, regulatory support, and hospital facing reporting, this position contributes to the operational integrity, compliance, and sustainability of the Graduate Medical Education enterprise.

Requirements

  • Bachelor’s Degree from an accredited college or university as recognized by the United States Department of Education and/or the Council on Higher Education Accreditation (CHEA) and 3-5 years of experience. Credentials must be obtained prior to the start date.
  • 3–5 years of progressively responsible experience in financial administration, billing, compliance, or operational reporting within a healthcare, higher education, or similarly regulated environment.
  • Experience working with time-based activity tracking, scheduling, or workload documentation used for billing, reimbursement, or compliance purposes.
  • Experience reviewing, reconciling, and validating data for accuracy prior to external reporting or submission.
  • Experience working with multiple stakeholders (e.g., program staff, finance offices, operational partners) to resolve data discrepancies and meet reporting deadlines
  • Experience managing time-sensitive requests and competing priorities while maintaining accuracy and compliance

Nice To Haves

  • Experience in Graduate Medical Education (GME), academic medicine, or a teaching hospital environment.
  • Experience supporting CMS, Medicare, or Medicaid reimbursement processes, including documentation for Direct and Indirect Medical Education (DME/IME).
  • Experience responding to hospital partner reporting requests or supporting internal or external audits.
  • Experience using residency management systems (e.g., New Innovations) and/or enterprise financial systems (e.g., Workday).
  • Experience preparing or supporting IRIS reports or similar institutional compliance submissions.
