The Archdiocese of Seattle has an opening for a full-time Gift Processor and Database Coordinator. This opening is to fill a vacant position. The Gift Processor and Database Coordinator is part of the Development team and is responsible for the daily processing and reporting of donations and pledges, maintaining the Raiser’s Edge donor database, ensuring the timely processing of gift acknowledgements and receipts, and providing administrative support to the broader Development team as needed. Serves as the main point of contact for donor questions and concerns. This position is a hybrid full-time role with a minimum of 3–4 days per week in the office at our downtown Seattle location, depending on department and staffing needs.

Requirements

  • Primary Willingness and ability to support the mission of the Church by extending the ministry of the Archbishop. Ability and desire to use God-given gifts and talents in service of the local Church in support of the collaboration between lay and ordained ministers.
  • Education Some college highly preferred.
  • Experience At least 3 years’ experience working with a customer management or fundraising system, preferably in a relational database environment. At least 1 year Raiser’s Edge experience preferred. Familiar with query and export functions in a database. Proficiency in Microsoft Excel and Word. Customer service experience preferred.
  • Other Elements Excellent organizational skills and the ability to work on multiple projects and set priorities to meet deadlines. Attention to detail with a high degree of accuracy in data entry. Excellent written and oral communication skills to interact and problem solve data concerns with constituents, parish, and Archdiocesan staff. Ability to work independently as well as in a team. Ability to maintain high levels of confidentiality. Must possess a valid Washington driver’s license to travel throughout the Archdiocese of Seattle.
  • Knowledge of and familiarity with the Catholic Church in Western Washington.

Responsibilities

  • Gift Processing Manage all gift processing in an accurate and timely manner, including:
  • Complete data entry and process all incoming gifts (processing checks, IRAs, cash, direct debit, credit card, etc.)
  • Pull and process data files from 3rd party processors; create and commit gift batch files
  • Maintain gift integrity through adjustments, write-offs, etc.
  • Gift acknowledgements and pledge reminders via mail/email
  • Pull gift reports for weekly/monthly processing through Blackbaud Merchant Services
  • Reconcile donor database with Accounting team
  • Support Accounting team with annual audit
  • Raiser’s Edge Donor Database Management Manage donations and donors in the Raiser’s Edge donor database.
  • Coordinate and manage data in Raiser’s Edge correctly and in a timely manner, including:
  • Queries, reports, and lists
  • Process donations and enter pledges
  • Maintain up-to-date and accurate constituent records
  • Address changes from returned mail or National Change of Address (NCOA) data
  • Life status changes
  • New constituent record creation
  • Constituent record de-duplication
  • Communication with parishes regarding changes
  • Process the National Change of Address (NCOA) data, update records from returned mail, and submit changes to parishes
  • Create and execute complex gift and donor queries
  • Create financial and analytical reports as needed
  • Follow weekly schedule of task timelines and deadlines to ensure major solicitation mailings, acknowledgements, and data extractions are accurate and timely.
  • Support Development team with fundraising data needs.
  • Support other Development events and mailings as needed.
  • Assist with prospect and donor research.
  • Other duties as assigned.
  • Database Knowledge / Training / Testing Under direction of the Assistant Director of Development Operations, obtain Raiser’s Edge certification and stay current with database instructions and training to ensure tasks are completed efficiently and in a timely manner.
  • Train and become familiar with ParishStaq and related processes.
  • Acknowledgements Process and send Donor Acknowledgement Letters and Emails.
  • Process and send Annual IRS Tax Receipt Letters.
  • Customer Service Provide high-level, responsive customer service to donors and other Archdiocese stakeholders, including parishes.
  • Serve as primary contact via phone and email for donor questions and concerns.
