Position Overview: The Gift Processing Specialist is responsible for the accurate and timely processing of a high volume of donations and payments in the organization’s CRM system. This role audits supporting documentation to ensure it meets organizational, GAAP, and IRS requirements; determines the appropriate coding based on the organization’s revenue reporting structure; and identifies and implements record updates as needed. Key functions include entering donation information, and ensuring all work is completed with a high degree of accuracy, confidentiality, and adherence to established policies and procedures. Requirements

  • Exceptional attention to detail with strong organizational, data management, and quality control skills
  • Ability to manage multiple priorities and deadlines in a fast-paced, high-volume environment
  • Proficiency with CRM systems and Microsoft Excel (sorting, filtering, formulas, lookups); familiarity with Power BI is a plus
  • Strong written and verbal communication skills
  • Demonstrated commitment to delivering a positive and professional donor experience
  • Strong interpersonal skills and ability to collaborate across teams
  • Self-motivated, proactive, and solutions-oriented with sound judgment
  • Bachelor’s degree preferred, ideally in nonprofit management, business administration, communications, data analytics, or a related field. Equivalent professional experience will be considered.
  • 2–4 years of relevant experience in fundraising support, donor relations, or data management.

Nice To Haves

  • Experience in nonprofit operations is preferred.
  • Familiarity with donor databases or CRM systems (e.g., Microsoft Dynamics, Salesforce, Raiser’s Edge) is highly desirable.
  • Proficiency with tools such as Excel, and data reporting platforms (e.g., Power BI) is a plus.

Responsibilities

  • Review donation and payment batches to ensure documentation meets GAAP, IRS, and UWMD requirements and contains all information necessary for accurate processing.
  • Research donors and company giving history to determine appropriate coding, designation, and revenue alignment.
  • Proactively access third-party portals and platforms to retrieve missing or required donation documentation.
  • Compile, sort, and format spreadsheets to prepare donation data for import and posting into the CRM system.
  • Enter donation and payment data through manual entry and imports, ensuring accuracy and reconciliation to control totals.
  • Investigate and resolve system errors, rejected items, and discrepancies within the processing workflow.
  • Escalate issues and discrepancies to appropriate leadership and stakeholders in a timely manner.
  • Complete all assigned month-end closing activities by established deadlines.
  • Participate in the team rotation for processing incoming organizational mail.
  • Maintain and update company and donor processing profiles to support future accurate entry.
  • Collaborate with Resource Development and other teams to obtain gift agreements, donor intent documentation, and required approvals.
  • Support other processing, data quality, and system improvement initiatives as needed.
  • Provide responsive, accurate customer service to both internal and external stakeholders.
  • Handle all donor and financial information with strict confidentiality and care to reinforce donor trust.
