Under general supervision, the genetic counseling assistant is responsible for supporting genetic counselors and other clinicians (e.g MDs) with administrative functions, including triaging incoming cases for genetic counselor and geneticist review, and assisting with collecting necessary patient clinical information. Additional responsibilities may include coordinating and scheduling appointments, updating patients’ electronic medical records, routing telephone calls, assisting with the creation of educational materials and patient letters, participating in team meetings and performance/quality improvement projects. Requirements

  • High School diploma or equivalency certificate (e.g., GED, HiSET, TASC Test) from an accredited institution or governmental unit
  • Computer experience required with the ability to use word processing and spreadsheet programs
  • Excellent problem-solving, multi-tasking, technology-literate skill sets
  • Solid interpersonal, customer service, time management, and organizational skills
  • Ability to communicate in a professional and appropriate manner
  • Ability to use all electronic tools and applications relevant to the performance of the duties of the position, including but not limited to phone, keyboard, computer and computer applications
  • Performs all job functions in compliance with applicable federal, state, local and company policies and procedures
  • Accesses only the minimum necessary protected health information (PHI) for the performance of job duties. Actively protects the confidentiality and privacy of all protected health information they access in all its forms (written, verbal, and electronic, etc.) taking reasonable precautions to prohibit unauthorized access. Complies with all Atrius Health and departmental privacy policies, procedures and protocols. Follows HIPAA privacy guidelines without deviation when handling protected health information

Nice To Haves

  • Experience in a clinical setting and within a genetic specialty clinic
  • Electronic medical record (EMR) experience
  • Working knowledge of patient related documents

Responsibilities

  • Obtains patient medical record for clinical appointments
  • Outreaches to patients regarding scheduling and phone inquiries related to the genetic services
  • Coordinates and researches all insurance coverage for genetic testing for patients
  • Prepares letters of medical necessity and family letters about genetic diagnoses with guidance from genetic counselor or clinical geneticist
  • Completes forms needed for visits and submits to genetic counselor/clinical geneticist for review Review patient record for missing information Verifies prior authorizations
  • Obtains family history information under supervision of genetic counselor/clinical geneticist
  • Provides patients and families updates about insurance authorizations decisions and status of testing
  • Assists with coordinating genetic testing for family members for both diagnostic testing as well as research genetic testing
  • Develops and monitors provider appointment templates Under supervisor direction adjusts templates and coordinates rescheduling of patients Prepares and distributes department clinical schedule Works with supervisor on coverage issues
  • As directed assists with patient chart reviews and case preparation for genetic counselors and other clinicians
  • Assists with patient follow-up correspondence regarding testing results
  • Maintains and analyzes genetics practice data (e.g. monthly visits positive results etc)
  • Participates in and with supervision leads performance improvement initiatives and helps to implement new clinical workflows
  • Trains and orients new staff as needed May also be involved in interviewing and on-boarding of new staff
  • Provides back-up coverage for other support staff as necessary
  • May represent department on groups and teams related to upgrades of the electronic medical record
  • Performs other duties as assigned
