About The Position

Under general supervision, performs varied office support assignments including typing, receptionist work, and complex record keeping; and performs other related duties as assigned. Bi-lingual in Spanish preferred.

Requirements

  • Experience involving general clerical and office support functions, including data entry, typing, and receptionist work; and equivalent to high school graduation.
  • Considerable knowledge of general office practices and filing procedures
  • Ability to organize and complete work as scheduled and maintain departmental filing systems
  • Ability to maintain detailed and accurate records
  • Ability to type materials with speed and accuracy
  • Ability to operate a computer and applied software programs
  • Ability to operate standard office equipment
  • Ability to operate a calculator and perform mathematical computations with speed and accuracy
  • Ability to communicate effectively with staff, management and public and private representatives
  • Ability to follow written and oral instructions
  • Ability to operate office equipment such as computers, printers, filing cabinets, photocopiers and other office equipment as applicable
  • Most work tasks are performed indoors where temperature is moderate and controlled by office environment systems
  • Ability to work (sit and/or stand) at a desk for the majority of the work day; walking and/or standing may be required for the remainder of the work day. Length of time performing these physical requirements may vary from day to day and task to task
  • Requires grasping, writing, sitting, standing, walking, repetitive motions, pulling, pushing, listening and hearing ability, and visual acuity
  • Ability to occasionally bend, stoop, reach, lift, move, and carry objects weighing 25 pounds or less
  • Ability to perform essential functions of the job, as defined

Responsibilities

  • Types, completes, and files a variety of departmental documents including letters, forms, shipping and receiving records, purchasing requisitions, and departmental activity reports
  • Responds to questions concerning departmental and company policies and procedures and the proper completion of office forms
  • Operates standard office equipment with speed and accuracy such as computer, calculators, photocopiers and facsimile equipment
  • Assists with shipping to outlying offices and outside customers
  • Adds, prints, and maintains work orders
  • Prepares documents for outside services
  • Requests office supplies as needed
  • Answers and transfers telephone calls, takes messages, and interacts with customers
  • Coordinates pattern movement per customer request
  • Completes special clerical and office support projects as needed
  • Regular punctuality, attendance, and absence reporting in conformance with company policies is essential to the successful performance of this position
  • Fully comply with company rules, policies, procedures, and safety guidelines to ensure safe and effective operations.
