About The Position

This position reports to the DVR Bureau of Vendor and Contracted Services Operations Manager/Assistant Bureau Chief and is responsible for supervising the daily operations of the Vendor Registration Unit.  The incumbent in this position must be productive under tight timeframes, balance multiple and competing priorities, and maintain goal-directed behavior and performance sometimes under stressful conditions.  The employee must interact courteously with others.  The incumbent’s performance and behavior must demonstrate consideration of the workload concerns of others and must not negatively affect productivity and morale of the unit.  Attendance is an essential function of this position. As a supervisor, the incumbent must communicate with, motivate, provide or coordinate training, and direct the work of his/her subordinates.  In addition, the incumbent must complete timely performance appraisals, develop timely and accurate work plans, and timely approve monthly attendance and leave for each position under his/her direct report.  Timesheets must be completed in the People First system by the 5th business day of the following month.  The incumbent has the authority to make hiring recommendations as well as disciplinary recommendations. The incumbent of this position is responsible for a complex, comprehensive vendor registration system for DVR contracted vendors and providers, including but not limited to the following: Daily oversight of unit staff, including workload distribution, work product review and approval, coaching and mentoring; Ensuring vendor applications are reviewed and acted upon appropriately in a timely manner and in accordance with applicable policies and procedures; Ensuring appropriate registration and re-registration of both contracted and non-contracted vendors and accurate entry of vendor information in the Aware, DVR’s case management system Maintaining the integrity of DVR vendor database of vendors and providers, including regular updating and sharing of information about number of registered, certified and authorized vendors and providers of goods and services by type and area; Working collaboratively with DVR Special Contract Units and the Contract Monitoring Employment Contracts Unit on issues related to contracted vendors; Assisting or leading the development, review, and revision of guidelines, policies, processes, procedures, and templates related to vendor registration and tracking; Ensuring all applicable federal and state requirements, such as background screening, are included in the vendor registration process; Coordinating with other agencies responsible for licensing, accreditation, or certification of vendors, as needed; Working collaboratively with DVR Senior Management and other stakeholders on the collection, maintenance and dissemination of vendor data; and Maintaining applicable information related to Vendor Registration on the DVR internal and external websites. The incumbent also performs other related duties, as assigned.

Requirements

  • Knowledge of the methods of data collection and analysis, and of basic management principles and practices.
  • Ability to collect, evaluate and analyze data to develop alternative recommendations, solve problems, document work flow and other activities relating to the improvement of management practices; to organize data into logical format for presentation in reports, documents and other written materials; to conduct fact-finding research; to utilize problem-solving techniques; to plan, organize and coordinate work assignments; to communicate effectively; and, to establish and maintain effective working relationships with others

Responsibilities
