About The Position
Maitri is a non-profit agency in the San Francisco Bay Area whose vision is a society where all relationships are based on dignity, equity, and compassion. Maitri’s mission-focused programs help provide critical services that empower South Asian survivors of domestic violence and move the needle on the prevention of abuse in the South Asian community and beyond. Job Summary: This is a part-time contract role to support the Maitri Gala, ideal for a junior-to-mid-level person who is highly organized, detail-oriented, and comfortable working across systems, vendors, and timelines. The role is execution-focused and operational, with clear processes and guidance, but also requires ownership of tasks and follow-through. Experience in nonprofit fundraising or events management is a plus, but not necessary.
Requirements
- 1–4 years of experience in nonprofit fundraising, events, or operations (nice to have)
- Strong organizational skills and attention to detail
- Comfort working with CRMs (e.g., CharityEngine, Salesforce, Bloomerang, or similar)
- Working knowledge of Excel or Google Sheets (filters, sorting, basic formulas)
- Strong written and verbal communication skills
- Professional discretion when handling donor and sensitive information
- Willingness to work a flexible schedule on a need basis and to complete tasks on hand. Occasionally working on weekends and weeknights is a requirement.

- Work Authorization for USA required.

Responsibilities
- Maintain accurate donor records in the organization’s CRM
- Enter and reconcile pledges, gifts, sponsorships, ticket sales, and event attendance
- Run routine donor and pledge reports and flag discrepancies
- Support data cleanup, deduplication, and householding
- Build segmented lists and support mail merges and donor communications
- Use Excel or Google Sheets to track pledges, payments, and event metrics
- Coordinate logistics with vendors (venue, catering, entertainment, décor, printing, AV, etc.)
- Maintain event timelines, task lists, and planning documents
- Assist with on-site event logistics as needed
- Support sponsor tracking, fulfillment, and recognition
- Assist with donor communications, reminders, acknowledgments, and follow-ups
- Coordinate donor logistics for events (tables, seating, recognition materials)
- Track event expenses and revenue under guidance from the Donor Engagement Manager
- Assist with post-event reconciliation and reporting
- Prepare summaries and basic reports
