About The Position

The Fundraising Administrative Coordinator serves as a key steward of Foundation Communities’ donor data during a temporary coverage period. This position is primarily responsible for the accurate receipt, processing, and entry of all individual donations into the organization’s donor database, ensuring that every gift is recorded correctly, acknowledged promptly, and reflected in clean, reliable constituent records. This role is essential to maintaining strong donor trust and ensuring continuity of fundraising operations, while also providing administrative and engagement support to the Individual Giving & Engagement team as needed.

Requirements

  • Strong attention to detail with the ability to efficiently learn and apply new software essential to daily workflows
  • Combination of education and experience demonstrating strong administrative and data management skills
  • Experience with Raiser’s Edge or a similar CRM/database system
  • Proficiency in Microsoft Office, particularly Excel
  • Reliable personal transportation required

  • Working knowledge of nonprofit fundraising principles
  • Prior experience in fundraising administration, data entry, or a similar detail-oriented role

Responsibilities

  • Receive, review, and accurately enter all incoming donations (checks, online gifts, pledges, and other contributions) into the CRM database within established timeframes
  • Process pledge payments and recurring gifts, ensuring proper attribution and coding
  • Maintain accurate and up-to-date donor and gift records, including contact information and payment details
  • Support database integrity, data health, and basic reporting
  • Generate and prepare timely gift acknowledgement letters, call lists, and related donor thank-you materials
  • Support in-house mailings including mid-year Home Builder statements, gift processing notifications, pledge renewal notices, and annual payment reminders, as needed
  • Ensure accurate and timely transmission of donation data to accounting, including daily/weekly deposits, batch reports, and supporting documentation
  • Reconcile donations recorded in the donor database with Accounting records, identifying and resolving discrepancies in collaboration with accounting staff
  • Communicate with Leadership and Accounting regarding gift coding, fund restrictions, revenue classifications, and any unusual, high-impact, or complex donations (e.g., pledges, matching gifts, in-kind donations, stock gifts, or grants)
  • Support month-end and year-end close processes by providing donation reports, backup documentation, and clarification as needed
  • Monitor and respond to accounting inquiries related to donor transactions, refunds, adjustments, or corrections
  • Assist with donor engagement events and outreach activities as needed
  • Support other Foundation Communities events and External Engagement Team priorities
