About The Position

The Sample Coordinator is responsible for the accurate processing, picking, packing, shipping, and tracking production samples to internal and external customers. This role ensures timely fulfillment, maintains shipment materials inventory, coordinates with carriers, and provides high levels of customer service and communication. The position requires strong organization, attention to detail, and the ability to work independently with minimal supervision in a fast-paced, production-adjacent environment.

Requirements

• 1–2 years warehouse, shipping, or production support experience
• High School Diploma or Equivalent
• Strong verbal and written communication skills
• Detail-oriented with strong organizational skills
• Problem-solving ability and sound judgment
• High sense of urgency and accountability
• Proficiency with: JDE or similar ERP systems, DSI scanning equipment or voice collect sytems., Shipping Portals (e.g., FedEx, DHL), Microsoft Office and Excel (intermediate level)
• Basic math skills

Nice To Haves

• Proven results and bias for action
• Forklift/PIT certification or willingness to train
• Bilingual English/Spanish preferred
• Cross-department collaboration experience

Responsibilities

• Process sample requests with high accuracy and timely data entry
• Maintain organized records and documentation
• Communicate status updates and resolve issues proactively
• Pick, inspect, label, pack, and ship production samples
• Ensure product quality and compliance with GMP and Food Safety standards
• Track shipments and follow up with carriers (e.g., FedEx, DHL)
• Provide delivery updates to Sales and internal stakeholders
• Troubleshoot delays or lost shipments
• Monitor stock levels of packaging and shipment materials
• Notify Supply Chain of replenishment needs
• Maintain organized storage areas
• Assemble shipping boxes
• File courier claims for damaged or lost shipments
• Support shipping clerk activities as needed
