About The Position

The Front Office Supervisor oversees the daily operations of the medical office front desk to ensure efficient patient flow, excellent customer service, and compliance with healthcare regulations. This role supervises front office staff, supports providers and clinical teams, and ensures accurate scheduling, registration, and insurance processes.

Requirements

  • High school diploma or equivalent required; associate degree preferred
  • Minimum 2–3 years of experience in a medical office or healthcare front desk role
  • Previous supervisory or lead experience preferred
  • Knowledge of medical terminology, insurance plans, and scheduling workflows
  • Experience with electronic health record (EHR) systems
  • Strong leadership and interpersonal skills
  • Excellent customer service and conflict-resolution abilities
  • Strong organizational and multitasking skills
  • Attention to detail and accuracy
  • Ability to work in a fast-paced healthcare environment

Responsibilities

  • Supervise, train, and support front desk and patient access staff
  • Ensure adequate front desk coverage
  • Monitor staff performance and provide coaching, feedback, and evaluations
  • Address patient and staff concerns professionally and promptly
  • Ensure a welcoming, respectful, and professional patient experience
  • Handle patient complaints or escalated issues related to scheduling, wait times, or billing inquiries
  • Maintain patient confidentiality and HIPAA compliance at all times
  • Oversee patient check-in and check-out processes
  • Ensure accurate patient registration, demographics, and insurance verification
  • Monitor appointment scheduling, cancellations, and rescheduling to optimize provider schedules
  • Coordinate with clinical staff to ensure smooth patient flow
  • Ensure insurance eligibility verification and authorization processes are followed
  • Support accurate collection of copays, deductibles, and outstanding balances
  • Communicate with billing staff regarding front-end errors or discrepancies
  • Ensure compliance with HIPAA, OSHA, and organizational policies
  • Maintain accurate records, reports, and front office documentation
  • Assist with audits and quality improvement initiatives
  • Maintain front office supplies and equipment
  • Assist with reporting on front desk metrics (no-show rates, wait times, patient satisfaction)
  • Participate in staff meetings and process improvement efforts
