About The Position

Front Office Group Administrative Assistant The Opportunity: Serve as a highly organized Administrative Assistant to support the F-35 program. Provide critical administrative and management support, including workflow coordination, records management, and assistance with briefings and reports. Apply attention to detail, excellent communication skills, and experience working in a fast-paced, classified environment. Provide administrative and management support, including problem analysis, identifying solutions, and preparing reports. Perform general office tasks, such as answering phones and scheduling telecoms and VTCs. Prepare organizational charts and enter data into reports. Manage training requirements, files, forms, and file plans. Process mail, including classified and unclassified, and handle classified material securely. Prepare correspondence and manage fax equipment. Process travel orders using the Defense Travel System (DTS). Monitor and manage the organization awards program in accordance with USAF policies. Track nominations, coordinate selection panels, and assist with award presentations. Perform workflow management to ensure timely responses to internal and external taskings: Assign actions, track progress, consolidate responses, and archive completed actions. Manage coordination and suspense control for inquiries from higher headquarters and directorate staff. Support development of briefings and reports, including creating visual aids, such as slides, charts, and graphics, using standard USAF software. Maintain databases, spreadsheets, and automated forms and assist with procurement and periodic reports. Assist with planning, editing, and publishing program documentation, including classified and unclassified, in compliance with DoD policies and Air Force Handbook 33-337: Tongue and Quill. Establish and maintain master files and file plans for program data and serve as POC for records filing and maintenance. Consolidate and prepare materials for staff meetings, including agendas and conference room setup. Retrieve data for queries and reports, maintain tracking systems for deficiencies and corrective actions, and prepare documentation for Government review.

Requirements

  • 3+ years of experience with administrative or analytical support in the DoD
  • Experience in Microsoft Office Suite and USAF-standard software applications
  • Experience with Defense Travel System (DTS)
  • Ability to handle classified material and comply with DoD security requirements
  • Secret clearance
  • Bachelor's degree in Business Management or Business Administration

Nice To Haves

  • Experience preparing briefings and reports for senior leadership
  • Knowledge of workflow management systems, such as AFMC SOCCER or Task Management Tool (TMT)
  • Knowledge of records management systems and electronic records management (ERM)
  • Knowledge of USAF policies preferred
  • Possession of strong organizational, communication, and problem-solving skills
  • Master's degree in Business Management or Business Administration
