As the Operational Service Coordinator (Front Desk Supervisor) at HAWC you are responsible for assisting leadership with the daily operational activities at the Flagship Campus and overseeing the buildings access, and 24-hour security monitoring to ensure compliance at the facility. Requirements

  • High School Diploma or GED.
  • A minimum of two years’ of experience in customer service
  • A minimum of two years’ of experience in leading a team with direct reports
  • Experienced in Microsoft Office, specifically Word, Excel, Teams, and Outlook.
  • You have a valid Texas driver’s license with a good driving record; reliable transportation; ability to travel to off-site locations utilizing personal transportation.
  • Excellent attention to details
  • Demonstration of professional objectivity and appreciation for confidential information
  • Ability to follow instructions and to adhere to policies and procedures
  • Ability to prioritize tasks to meet individual and team deadlines
  • Has a growth mindset and is a good team player
  • Strong communication skills, both verbally and in writing.

Responsibilities

  • You oversee building access, safety, security monitoring (24 hours) and compliance at the Flagship Campus.
  • You are responsible for employee Performance Management (hiring, supervision, time management, engagement, performance appraisals and corrective actions) of the Residential Advocates and Housekeeping staff in compliance with budget and agency standards.
  • You monitor, inventory and procure office supplies and client supplies for the Flagship Campus.
  • You assist Departments within the agency with the procurement of supplies and services, as needed.
  • You oversee the day-to-day operation of the Housekeeping and Residential Advocates schedule to ensure proper coverage.
  • You are responsible for the programming and maintenance of data in the building access control computer to authorize appropriate employee and resident access levels for entry into the Flagship Campus.
  • You ensure all visitors and deliveries are properly recorded, including identification and escort (as needed) around the Flagship Campus.
  • You collaborate with Senior Manager of Residential Client Services to respond to and report unusual incidents or occurrences to minimize or deter the development of hazardous or dangerous situations.
  • You communicate effectively with residents, guests, and staff.
  • You develop and maintain Residential Advocate departmental policies, and procedure manuals.
  • You are responsible for the supervision, training, and evaluation of Residential Advocates and Housekeeping staff which includes paid staff, interns, and volunteers.
  • You prepare shift schedules and approves leave and overtime, in a timely manner, in order to ensure continuous coverage within budget constraints.
  • You initiate, respond, and complete all required and/or requested reports and or other work products in a timely manner.
  • You participate in staffing, supervisory, and management as required or needed.
  • You initiate, retrieve, and/or respond to E-mail, voice mail, written correspondence and protocols for staff communication across channels, in a timely manner.
  • Other duties as assigned.
