About The Position

We are a fun and friendly senior community looking for an energetic, outgoing, and friendly receptionist. This is a full-time position working during normal business hours. Responsibilities

  • Retrieves messages from voice mail and forwards to appropriate personnel.
  • Answers incoming telephone calls, determines the purpose of callers, and forwards calls to appropriate personnel or department.
  • Takes and delivers messages or transfers calls to voicemail when appropriate personnel are unavailable.
  • Answers questions about the organization and provides callers with the address, directions, and other information about the community.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
  • Monitors visitor access and issues passes when required.
  • Receives, sorts, and routes mail, and maintains and routes publications.
  • Maintains office equipment.
  • Orders, receives, and maintains office supplies.
  • Creates and prints memos, correspondence, reports, and other documents when necessary.
  • Performs other clerical duties as needed, such as scanning, filing, photocopying, and collating.
  • Create and complete employees' files upon hire with appropriate certifications and documents; close out employee files upon termination.
  • Create and complete resident files upon move-in and close out files upon move-out.
  • Update specified documents on a weekly basis, distribute incoming mail, order employee name tags, assist in generating the monthly rent invoices, prepare all correspondence for mailing, summarize resident charges, guest meals, employee meals, track employee and resident birthdays, assist staff in creating spreadsheets, reports, and documents.
  • Performs other tasks as requested by the Executive Director.
  • Assists with management roles in the community.
  • Assist with move-in inquiries and the promotion of the community.
