About The Position

The Front Desk Receptionist (Administrative Support Assistant II) serves as the welcoming first point of contact for Counseling & Psychological Services (C&PS), playing a vital role in creating a supportive and professional environment for students as well as faculty and staff. This position executes front reception operations, schedules appointments, and responds to a high volume of inquiries while maintaining confidentiality and professionalism. The role requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced setting. Requirements

  • General working knowledge of applicable university infrastructure, policies, and procedures.
  • Ability to learn, interpret independently, and apply a variety of complex policies and procedures.
  • Able to identify deviations from applicable policies.
  • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
  • Work often involves front line contacts with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills, which can include students presenting in crisis.
  • Demonstrated competence in effectively presenting standard information in writing.
  • Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.
  • These entry qualifications would normally be obtained through completion of a high school program or its equivalent and some experience in an office environment.
  • Typing and keyboard skills.
  • An ability to perform basic mathematical calculations.
  • An ability to learn office technology systems.
  • An ability to operate standard office equipment.
  • An ability to understand standard office procedures.
  • A sound foundation in English grammar, spelling, and punctuation.
  • Fundamental written and oral communication skills

Nice To Haves

  • Experience with patient interaction in a mental health or medical office environment is preferred.
  • One year of experience in word processing and computer operations, vocational business school or college training, or one year of full-time college education is preferred.

Responsibilities

  • Execute front desk operations, including answering and directing phone calls and emails, greeting visitors, and responding to general inquiries about services and procedures.
  • Organize and maintain scheduling system for therapists and center.
  • Organize and maintain and process a complex system of confidential client information with accuracy and discretion.
  • Prepare, organize, duplicate, and file materials; distribute mail; and support therapists with administrative tasks.
