About The Position

As the Front Desk Receptionist, you are responsible for executing the daily operational tasks for our headquarters office. This role will be front desk reception: greeting and welcoming guests, answering, and directing phone calls, and maintaining the office's event and meeting calendars. This role will also execute facility-related tasks including processing maintenance requests, billing, and coordinating meeting/event setups. Additionally, you will provide administrative support to the Vice President of People and work on other special projects as needed. A successful candidate is personable with strong customer service skills and keen attention to detail. A successful candidate also possesses strong organizational skills and is technology-fluent with a facilities coordination background.

Requirements

  • Minimum of 3 years of administrative, customer service, and/or facilities experience.
  • Strong computer skills including strong capability in email, MS Office Suite, and other related business and communication tools (Zoom, Teams, etc.).
  • Strong work ethic with a high degree of energy, adaptability, and innovation.
  • Positivity, detail-oriented, excellent multitasking, and organizational ability.
  • Decision-making skills and ability to meet deadlines.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.

Responsibilities

  • Answer the phones: take messages, answer questions, redirect calls as appropriate.
  • Greet and welcome guests and visitors, ensuring they feel welcome and comfortable.
  • Engage and probe clients and visitors in a professional and timely manner to determine the purpose of their inquiry.
  • Ensure the reception area and public spaces are kept presentable, neat, and clean.
  • Resolve client questions and concerns.
  • Perform necessary follow-up tasks to ensure client needs are met.
  • Maintain the office calendar.
  • Schedule events and meetings as needed and ensure there’s no overlap on the calendar.
  • Open and close the office daily.
  • Oversee the sorting and distribution of all incoming mail and packages.
  • Oversee outgoing mail as needed.
  • Acquire and maintain a detailed knowledge of the Organization’s policies, principles, strategies, and programs.
  • Keep up to date with relevant developments.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, visitor badges, etc.).
  • Maintain records and files.
  • Complete a broad variety of administrative tasks including managing calendars, completing expense reports; composing and preparing correspondence that is sometimes confidential; and arranging travel and meeting plans, presentations, and agendas.
  • Provides a bridge for smooth communication between internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  • Collaborate with other administrative support staff for calendar and event support.
