The Front Desk – Client Support Specialist serves as the initial point of contact, ensuring a welcoming and professional experience for all clients and visitors. This role involves managing front desk operations and providing administrative support to the Director of Operations, Attorneys, and Case Managers, ensuring smooth daily office functions and client support from the outset. The ideal candidate is personable, detail-oriented, proactive, takes pride in excellent service, stays organized in a fast-paced environment, and is ready to support the team wherever needed.

Requirements

  • 2+ years of professional work experience (internships qualify)
  • Bachelors/Associates Degree or equivalent experience
  • Excellent communication and interpersonal skills
  • Proficiency with MS Office suite (Outlook, Word, Excel, PowerPoint)
  • Passion for delivering exceptional client service
  • Strong organizational skills with high attention to detail
  • Team player who treats colleagues with courtesy and respect
  • Takes initiative and proactively manages tasks

Responsibilities

  • Answer incoming phone calls from new and existing clients, providing general information about Ellis Porter (office hours, directions, services overview)
  • Take detailed client messages and route calls to appropriate team members
  • Manage the reception email inbox, sorting and distributing messages from our third-party overflow answering service
  • Greet visitors and ensure they feel welcome in our office
  • Coordinate daily office opening/closing procedures, including lobby and kitchen setup
  • Provide immigration application support including printing, copying, scanning documentation, creating public access files, and preparing FedEx/mail packages
  • Assist the Director of Operations with office management activities and special projects
  • Monitor and coordinate office and kitchen supply inventories
  • Support file archiving, kitchen organization, and special event planning
  • Coordinate weekly team member lunches and other logistics
  • Perform other duties as assigned by management
