About The Position

We are seeking an experienced Front Desk Lead to oversee front desk operations and lead a team of Front Desk Operators at our Los Angeles office. This role is critical in ensuring operational efficiency, maintaining a professional and welcoming environment, and upholding the firm’s standards for client service, documentation handling, and administrative workflows. You will play a key leadership role by coaching team members, streamlining front desk processes, and ensuring compliance with firm protocols while supporting overall office operations. Work Setup Onsite role based in Los Angeles, CA Full-time, non-exempt position 40 hours per week Monday through Friday, 8:00 a.m. to 5:00 p.m. Flexibility to work weekends as needed

Requirements

  • Minimum 3 years of experience in a lead or supervisory front desk or administrative role
  • Experience working in a law firm or professional services environment preferred
  • Must be bilingual in Spanish and English.
  • Proven leadership experience managing or supervising team members.
  • Strong organizational and multitasking skills in a fast-paced environment .
  • Excellent communication and interpersonal skills .
  • Strong customer service mindset and professional demeanor .
  • Tech-savvy and comfortable using Google Workspace and case management software.
  • Experience handling confidential information and legal documentation.
  • Ability to manage office operations, inventory, and administrative workflows.
  • High School Diploma or equivalent required.
  • Ability to lift up to 20 pounds when needed.
  • Legally authorized to work in the United States.

Responsibilities

  • Lead, supervise, and support Front Desk Operators to ensure high performance and professionalism.
  • Train, onboard, and coach new team members while providing ongoing performance feedback.
  • Serve as the primary point of contact for clients, visitors, and staff, ensuring a welcoming and professional experience.
  • Ensure accurate digitization, filing, and handling of legal documents and case information.
  • Oversee mailroom operations, including sorting, scanning, and distributing correspondence in compliance with deadlines.
  • Assist clients with document collection, uploads, and case file organization.
  • Provide Spanish and English translation support during client interactions when needed.
  • Monitor team productivity, workflow, and adherence to firm protocols.
  • Approve and manage timesheets, PTO requests, and team schedules.
  • Coordinate inventory management, supply ordering, and vendor communication.
  • Ensure office readiness by overseeing daily office setup, maintenance, and operational needs.
  • Identify opportunities to improve front desk operations, workflows, and client experience.
  • Collaborate with leadership and other departments to support firm operations and special projects.
