About The Position

We are seeking an experienced Front Desk Lead to oversee front desk operations and lead a team of Front Desk Operators at our Los Angeles office. This role is critical in ensuring operational efficiency, maintaining a professional and welcoming environment, and upholding the firm’s standards for client service, documentation handling, and administrative workflows. You will play a key leadership role by coaching team members, streamlining front desk processes, and ensuring compliance with firm protocols while supporting overall office operations.

Requirements

  • Minimum 3 years of experience in a lead or supervisory front desk or administrative role
  • Experience working in a law firm or professional services environment preferred
  • Must be bilingual in Spanish and English.
  • Proven leadership experience managing or supervising team members.
  • Strong organizational and multitasking skills in a fast-paced environment .
  • Excellent communication and interpersonal skills .
  • Strong customer service mindset and professional demeanor .
  • Tech-savvy and comfortable using Google Workspace and case management software.
  • Experience handling confidential information and legal documentation.
  • Ability to manage office operations, inventory, and administrative workflows.
  • High School Diploma or equivalent required.
  • Ability to lift up to 20 pounds when needed.
  • Legally authorized to work in the United States.

Responsibilities

  • Lead, supervise, and support Front Desk Operators to ensure high performance and professionalism.
  • Train, onboard, and coach new team members while providing ongoing performance feedback.
  • Serve as the primary point of contact for clients, visitors, and staff, ensuring a welcoming and professional experience.
  • Ensure accurate digitization, filing, and handling of legal documents and case information.
  • Oversee mailroom operations, including sorting, scanning, and distributing correspondence in compliance with deadlines.
  • Assist clients with document collection, uploads, and case file organization.
  • Provide Spanish and English translation support during client interactions when needed.
  • Monitor team productivity, workflow, and adherence to firm protocols.
  • Approve and manage timesheets, PTO requests, and team schedules.
  • Coordinate inventory management, supply ordering, and vendor communication.
  • Ensure office readiness by overseeing daily office setup, maintenance, and operational needs.
  • Identify opportunities to improve front desk operations, workflows, and client experience.
  • Collaborate with leadership and other departments to support firm operations and special projects.
