About The Position

Under the direction of the Customer Service Manager, the Front Office Coordinator position serves as the first point of contact for visitors, customers, and employees, ensuring a professional and welcoming experience. This role provides front office support while also assisting the Customer Service team with data entry, order processing, and backup CSR responsibilities as needed. The Front Office Coordinator team member will act in a manner that is consistent with Gordon Aluminum’s Customer 1st Philosophy.

Responsibilities

  • Greet and assist visitors, customers, and vendors in a professional and courteous manner.
  • Answer and direct incoming telephone calls promptly and accurately.
  • Maintain front office organization, including mail distribution and general administrative support.
  • Provide backup support to Customer Service Representatives, including answering customer/employee inquiries and assisting with order entry.
  • Enter and maintain accurate data in computerized systems to support customer files, service logs, and open orders.
  • Prepare documents, reports, and correspondence accurately and on time.
  • Assist with tracking orders, updating customer information, and supporting service dispatch coordination as needed.
  • Provide inside support to the outside sales representative and internal departments as required.
  • Complete special projects and administrative assignments as directed.
  • Maintain confidentiality when handling sensitive company and customer information.
  • Follow and comply with all safety and work rules and regulations. Maintain departmental housekeeping standards.
  • Takes the initiative, promptly seeking his or her next task requiring minimal supervision.
  • Acts in a manner that demonstrates being part of the solution, not the problem.
  • Demonstrates continuous improvement to reach goals and raise the bar.
  • Prioritize and schedule workload effectively.
  • Performing all work-related tasks in a manner that is in compliance with all Federal, State, and local standards and regulations.
